Executive Assistant/project Coordinator

**Overview**:
**Purpose**:
Coordinator to provide administrative support to deliver projects, tasks on time, within specified schedule. Liaise with cross functional teams and provide required coordination support to complete projects as planned.
**Essential Responsibilities**:
- Coordinate among all functional teams and shared tasks to get the job done.
- Booking and arranging travel, transport and accommodation.
- Organizing meetings, interviews, events and conferences.
- Reminding the manager/executive of important tasks and deadlines.
- Typing, compiling and preparing reports, presentations and correspondence.
- Liaising with staff, vendors and clients for day-to-day arrangements.
- Collating and filing expenses.
- Miscellaneous tasks to support their manager.
- Managing diary, arranges meetings and coordinates internal requests for time and information in order to manage interruptive influences.
- Undertakes administrative tasks related to the functional responsibilities
- Sources information for reports, presentations and discussion papers and prepares correspondence, reports and presentation material.
- Undertakes special projects, task as required.
- Representing on behalf of chairman to clients, govt. officials whenever required.
- Implementing and maintaining procedures/administrative systems.
- Prepare and maintain documents like project progress reports, invoices, budget, timesheets, project team deputation records, Project KPI’s etc.
- Work on arrangements, clearances, project team mobilization/demobilization, travel related tasks
- Manage inventory/asset list of all non-human resources, manage databases and filing systems.
- Maintains confidential records and filing of reports, correspondence, and related material for ease of retrieval.
- Perform various tasks assigned on projects or related to operations.
- Support project manager in planning, control and implementation of assigned projects
- Conduct regular project control meetings
- Maintaining regular correspondence and effective communications with important stakeholders to develop strong relationships.
- Experience in managing administrative functions & Client Relationship Management.
- Adapt at providing admin support to the office by keeping track of office supplies, maintaining docs & liaising with other departments.
- Coordinating with various staff for operational support activities of the unit; serving as a liaison between departments & operating units in the resolution of day-to-day administrative and operational problems.
- Possesses adequate discretion & understanding the need for confidentiality. Possess a flexible & detail-oriented attitude.
- Administrative work along with support on research with an analytical bent of mind
- Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive.
**Non-essential Responsibilities**:
- Assist with any other duties as and when required
- Undertake specific projects as instructed by management
- Demonstrates high level of initiative to accomplish individual objectives assigned as well as team goals.
- Comply with organizational HR policies and procedures.
**Skills and Qualifications**:
- Any Graduate
- Minimum 3- 6 years of experience
- Verbal and written English communication skills
- High integrity, Self-Motivated and Balanced conduct
- Excellent organizational and administrative skills attained through a diverse range of work experience.
- Keeps proactive approach on assignments and tasks with high attention to detail to achieve objectives within time and with high accuracy.
- A disciplined personality who follows accurate guidelines, processes and procedures to achieve success in every task.
- Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
