Team Member - Raw Materials Procurement

**Level**: Executives/Junior Management

**Reporting To**:
Head Commercial and Supply Chain (Agri)

**Position Purpose**:
The role holder is responsible for procurement of raw materials for the Agri input business. This includes responsibility for understanding and communicating raw material requirements to suppliers, following up for ensuring timely delivery, adhering to budgeted costs and material specifications, maintaining procurement related data, preparing MIS reports and implementing process improvement projects.

**Strategic Responsibilities**:

- Provide inputs related to procuring raw materials to the Procurement Lead for developing annual Procurement Plans and budgets.
- Implement identified improvement projects in raw materials procurement, in coordination with the vendors and internal stake holders.
- Monitor vendor performance and review effective implementation of identified vendor development projects(e.g., vendor audits, progress reviews, feedback on remedial measures, vendor meets, vendor recognition programs)
- Provide MIS reports and status updates to Procurement Lead on key procurement metrics, as per specified timelines.
- Support Procurement Lead in vendor development, rationalisation and new vendor evaluation.

**Operational Responsibilities**:
Procurement Operations
- Collate the detailed raw material (RM) procurement requirements from stake holders (e.g Production Planning) for preparing procurement schedules.
- Communicate schedules to the Suppliers with quality specifications, quantity and expected delivery time.
- Ensure forward planning of schedules and communication for High value, long lead items and imported materials
- Communicate priority changes to suppliers (e.g production priorities and bottle neck items) on continuous basis, enabling suppliers plan for the changes.
- Track and ensure adherence to inventory norms and Just-in-Time principles for all RM receipts.
- Ensure timely delivery and adherence to specifications for all RM procurements.
- Adhere to SOPs for procurement processes/documentation requirements.
- Engage with suppliers; ensure resolution of any issues raised (e.g. vendor payments, clauses in contract)
- Ensure on time and accurate system updation of relevant documents / receipts in ERP.

Complaints Resolution
- Resolve quality issues in the incoming RM coordinating with suppliers as per relevant procedure.
- Coordinate for return of damaged RM to the supplier as per relevant procedure.

Audits & Compliance
- Support Audits (Quality Audits / Internal / External / Customer Audits) for procurement process.es
- Assist Procurement Lead in closure of all audit non-conformances

**Financial Responsibilities**:

- Track and ensure adherence to raw material procurement budgets, escalate any deviations to the Procurement Lead.
- Provide support to the Procurement Lead for price negotiations with existing / new vendors.

**People Responsibilities**:

- Attend trainings on training needs identified or imparted by HR.

**Education Qualification**:

- Graduate in any discipline.
- Additional Certification in Procurement / Contracts Management is desirable.
- MBA is Operations / Supply Chain Management will be an added advantage.

**Work Experience**:

- 3 to 5 years experience in handling procurement related activities in large corporate.
- Should have experience of working with packaging suppliers / vendors

**Functional Competencies**:

- Knowledge of internal ERP system and processes
- MS Office Skills
- Excellent Knowledge of Procurement Processes (demand forecasting processes, vendor empanelment & management, rates negotiations, vendor performance management)
- Understanding of Agro - Chemical packaging processes and requirements (protective packaging, flexible packaging, custom packaging, etc.)
- Knowledge of Inventory Management
- Excellent Knowledge of Supply Chain management ( supply chain strategy, supply chain planning, inventory management, logistics process, despatch process, documentation requirements, statutes and compliances)
- Knowledge of vendor management
- Excellent knowledge of the budgeting process, including estimation, monitoring and controlling costs within budget
- Working knowledge of the audit process - systematic inspection, examination and evaluation of compliance to defined standards
