Job Role and Responsibilities:
1. Schedule and Calendar Management:
- Manage the executive's daily calendar, including scheduling appointments, meetings, and travel arrangements.
- Coordinate and prioritize meetings and events, ensuring availability and appropriate allocation of time.
- Proactively anticipate and resolve scheduling conflicts, ensuring all appointments are promptly addressed and necessary adjustments are made.
2. Communication and Correspondence:
- Act as a gatekeeper, screen calls, and manage all incoming and outgoing correspondence.
- Facilitate effective communication between the executive and internal/external parties, ensuring timely responses and appropriate follow-up.
3. Administrative Support:
- Manage and organize documentation, files, and records, both electronic and physical.
- Prepare and distribute meeting agendas, minutes, and other relevant materials.
- Assist in the preparation of reports, presentations, and other business-related materials.
4. Relationship Management:
- Establish and maintain positive relationships with key stakeholders, both internal and external.
- Serve as a liaison between the executive and other team members, departments, clients, and business partners.
- Handle confidential and sensitive information with discretion and professionalism.
Qualifications Required:
1. Education and Experience:
- Bachelor's degree in business administration, secretarial studies, or a related field is preferred.
- Prior experience as an executive assistant or personal secretary is highly desirable.
2. Organizational Skills:
- Strong organizational abilities to manage multiple tasks and prioritize effectively.
- Excellent time management skills to meet deadlines and handle unexpected changes.
- Attention to detail to ensure accuracy and quality in all aspects of work.
4. Professionalism and Discretion:
- Demonstrated professionalism, integrity, and a high level of ethical behavior.
- Ability to handle confidential and sensitive information with utmost discretion.
- Maintain a professional appearance and demeanor at all times.
5. Adaptability and Resilience:
- Flexibility to adapt to changing priorities and work in a fast-paced environment.
- Ability to remain calm under pressure and handle challenging situations professionally.
