Job Description: Receptionist cum Admin
Position Overview:
The Receptionist cum Admin is a vital role responsible for creating a positive first impression, managing front desk operations, and providing administrative support to ensure smooth office functioning. This role requires excellent communication skills, multitasking abilities, and a proactive attitude.
Key Responsibilities:
1. Front Desk Management:
- Greet and welcome visitors, clients, and employees with a professional demeanor.
- Answer incoming calls, provide information, and direct calls to the appropriate personnel.
- Handle inquiries and address visitors' needs promptly.
2. Visitor and Guest Services:
- Maintain a neat and organized reception area, ensuring a hospitable environment.
- Register and sign in visitors, issue visitor badges, and notify relevant staff of their arrival.
3. Administrative Support:
- Assist in various administrative tasks such as photocopying, filing, data entry, and managing office supplies.
- Schedule appointments, meetings, and conference room bookings.
4. Communication:
- Manage both incoming and outgoing mail and packages.
- Communicate messages to employees and relay urgent information effectively.
5. Office Coordination:
- Coordinate with various departments to ensure seamless office operations.
- Manage office calendars, including scheduling and coordinating meetings.
6. Record Keeping:
- Maintain accurate records of visitors, incoming calls, and other relevant information.
- Maintain employee attendance records and assist in HR-related documentation.
7. Confidentiality:
- Handle sensitive information with discretion and maintain confidentiality.
8. Problem Solving:
- Address minor facility issues and escalate concerns to the appropriate department.
19. Team Collaboration:
- Collaborate with colleagues to provide support across various tasks and projects.
- Assist in organizing office events and celebrations.
Qualifications and Skills:
- High school diploma or equivalent; additional relevant qualifications are a plus.
- Proven experience as a receptionist or administrative assistant.
- Strong interpersonal and communication skills.
- Proficient in using office software such as Microsoft Office (Word, Excel, Outlook).
- Excellent organizational and multitasking abilities.
- Customer service-oriented attitude and professional appearance.
- Attention to detail and ability to handle tasks efficiently under pressure.
- Knowledge of basic office equipment and phone systems.
