The role of a project coordinator sits within the Global Programme Group (GPG) and aims at providing co-ordination and support to a project/program of a reasonable size and complexity delivered by GPG to drive a significant change and realize business benefits.
Role Description & Key Accountabilities
The role incumbent will be responsible for providing day to day operational support to the project managers/ programme managers on various aspects of the project/programme.
A Project Coordinator will be expected to perform the following responsibilities:
- Maintain and monitor project plans, project schedules and other key project control documents in alignment with project delivery framework.- Organize and participate in internal as well as any other key stakeholder meetings and workshops; chair project team meetings on behalf of project/program manager as and when required and directed.- Document the minutes of meeting (MOM) and diligently follow-up on important actions from various project team meetings.- Assist project/program manager in preparation of presentation materials for project meetings and other governance forums.- Provide administrative and logístical support to the project/program manager and wider project team- Raise purchase orders for the supplier invoices, record project expenses and assist project/program manager in tracking project finances.- Track and maintain project risks, issues, actions and decisions and other key project artefacts- Represent project/program manager in GPG internal meetings, as and when required and directed.- Escalate any critical items for project/program manager's attention which may have an adverse impact on project delivery and its outcome.- Create and maintain project management calendar (Project Board schedule, absence calendar for the project team members, travel schedule etc.).- Work with project/program manager and project team to ensure that the project status updates and other materials/information required by Programme Management Office (PMO) is produced on time.- Liaise with internal as well as external suppliers to organize and manage workshop schedules and ensure that needed resources (meeting rooms, videoconferencing, etc.) are arranged for the event(s).- Work with the Change Manager to facilitate project communications, log responses and track attendance at key project meetings/presentations.- Contribute and participate in the preparation and conduct of internal or external quality assurance reviews on the project.- Undertake project tasks and any other responsibilities related to the project as delegated by project/program manager.
Skills, Knowledge & Experience
The role incumbent will possess the following skills and knowledge, preferably practiced in a law firm or other similar professional services company:
- Experience of working on a project, involvement in the co-ordination/administration activities and exposure to the end-to-end project lifecycle or managing substantial parts of the project lifecycle.- Experience of working within a structured project management framework and a reasonable knowledge of project management tools and techniques.- Cultural sensitivity and awareness in dealing with global customers and suppliers.- Knowledge and experience of Microsoft packages, including Project, PowerPoint, Word and Excel.- Strong communications skills, both written and verbal.- Skill at managing stakeholder groups and balancing diplomacy and tact with assertiveness.- Good prioritisation and organization skills.- A strong customer centric approach and can lead by example.- A strong desire to solve problems and contribute to a positive and supportive learning environment.
