**Job Summary**
**Key Responsibilities**
- Monitor and manage the CEO’s inbox, ensuring timely responses and follow-ups.
- Make phone calls and attend virtual meetings on behalf of the CEO when required.
**Vendor & Shipment Coordination**
- Communicate with vendors and suppliers to gather quotations, confirm bookings, and follow up on deliveries.
- Track shipments, delivery schedules, and update the CEO accordingly.
- Maintain a vendor database with current rates and service capabilities.
**Administrative & Documentation Tasks**
- Create and maintain spreadsheets (pricing, task lists, timelines, logistics).
- Generate quotations and client-facing proposals based on inputs and templates.
- Organize digital folders and keep records easily accessible.
**Sales Follow-Up & CRM Support**
- Contact potential leads and existing clients to follow up on proposals and pending bookings.
- Assist in closing sales by preparing the right information at the right time.
- Update CRM or project management tools with all client-related activities.
**Task & Calendar Management**
- Manage CEO’s to-do lists and keep track of ongoing tasks with timely reminders.
- Help prioritize daily schedules and ensure deadlines are met.
- Coordinate internally with other team members to follow through on the CEO’s delegated instructions.
**Requirements**:
- At least 2-4 years of experience in executive assistance, sales coordination, or administrative support
- Excellent command of written and spoken English
- Strong organizational skills and ability to manage multiple tasks simultaneously
- Ability to work independently with mínimal supervision
- Experience in events, weddings, or creative service industries is a plus
**Preferred Working Style**
- Available during Singapore business hours
- Solution-oriented and comfortable making decisions on behalf of the CEO when necessary
- Able to maintain confidentiality and handle sensitive information with discretion
Working days 5 days work
Tuesday to Saturdays
(Sunday and Monday off)
When there is important work must overtime paid.
Pay: ₹20,000.00 - ₹35,000.00 per month
