**About the role**:
As IT Procurement Executive, you’ll be directly involved in the sourcing, purchasing and life-cycle management of products and services, such as:

- Hardware (e.g. Laptops, Mobiles, Headsets, Mice, Keyboards, Monitors)
- Software Licenses
- Other equipment linked to IT activities

Your role will involve sourcing and evaluating suppliers, contract drafting, negotiation and managing suppliers through the entire procurement process. You’ll also deal with any sustainability, risk management and ethical issues. You will be maintaining and expanding our knowledge base, configuration management database and any attributed IT policies and procedures as part of IT Support standard operating procedure.

Support will be provided in person, over the phone or remotely to address all network, project, and user issues.

This IT Procurement Executive role is based in our Mumbai site in India. We operate a flexible hybrid working policy with required site presence at a standard minimum of 3 days a week.

**Main responsibilities & duties**:

- **Vendor Management**: Manage relationships with a diverse portfolio of global hardware and software vendors, ensuring clear communication, issue resolution, and continuous improvement.
- **Contract Negotiation**: Lead contract negotiations with both hardware and software suppliers to secure favourable terms, including pricing, licensing agreements, warranties, and service levels.
- **Discounts and Cost Optimisation**: Identify and negotiate discounts, volume pricing, and long-term agreements with hardware and software vendors to optimize procurement costs.
- **Contract Lifecycle Management**: Oversee the full contract lifecycle for hardware and software, including drafting, reviewing, renewing, and ensuring compliance with terms, licenses, and service-level agreements.
- **Purchase Order Creation & Management**: Generate and manage purchase orders for hardware and software, ensuring accuracy in specifications, pricing, and delivery timelines across global offices.
- **Cost Tracking & Budgeting**: Monitor and track hardware and software procurement costs, including licensing, maintenance, and subscriptions, ensuring alignment with budgetary constraints.
- **Invoicing and Payment Management**: Oversee accurate invoicing for hardware and software purchases, tracking payments and resolving any discrepancies or delays in billing.
- **Supplier Performance Evaluation**: Regularly evaluate hardware and software vendors based on performance, delivery timelines, quality, and compliance with contractual obligations.
- **Global Procurement Operations**: Manage procurement processes for hardware and software across global offices, ensuring compliance with local regulations
