Kilowott, a leader in IT services and digital marketing, seeks a highly organized and proactive Personal Assistant to support its Board of Director. This role involves managing schedules, coordinating meetings, and handling confidential information, ensuring the Board operates efficiently and effectively.
**Key Responsibilities**:
- Manage and coordinate the Board's schedules, including meetings, appointments, and travel arrangements.
- Prepare and distribute agendas, minutes, and documents for Board meetings.
- Handle correspondence and communication on behalf of the Board.
- Organize and facilitate Board meetings, ensuring all necessary materials are prepared and distributed in advance.
- Assist in preparing presentations and reports for Board meetings.
- Follow up on action items and ensure their timely completion.
- Handle sensitive information with the utmost confidentiality and professionalism.
- Maintain and organize confidential files and records.
- Serve as the primary point of contact between the Board and internal/external stakeholders.
- Coordinate communication and ensure timely responses to inquiries and requests.
- Arrange travel, accommodations, and itineraries for Board members.
- Plan and coordinate corporate events and functions as required.
**Qualifications**:
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Minimum of 5 Maximum 15 years experience as a personal assistant or executive assistant, preferably supporting senior executives or a Board of Directors.
- Exceptional organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and maintain a high level of discretion.
- Professional demeanor and appearance.
- Strong interpersonal skills and the ability to build relationships with stakeholders.
- High level of integrity and ability to handle confidential information.
