To provide dedicated administrative support to India Field Service Team

BACKGROUND and EXPERIENCE

What are the requirements of this job in terms of education and previous work experience? What kinds of knowledge and skills should the incumbent possess? (e.g. technical know-how of a function, product or process; intensive knowledge of policies and procedures; analytical skills; selling techniques; supervisory skills, etc.)

The job requires excellent communication skills and the ability to communicate with people at all levels including customers and suppliers.

Capable of working to strict deadlines and ability to react to ever-changing situations in a fast-paced environment.

Excellent organizational skills and ability to manage several tasks simultaneously.

Able to work reliably and independently when required.

Commercial awareness

Some experience of using ERP systems / strong Microsoft Excel skills

Sales and purchase ledger input experience

Understanding and appreciation of working with ISO9001 quality system

Strong team player and high self-motivation

Professional telephone manner

NATURE OF THE JOB

Responsible for the following tasks:
Organizes travel arrangements including hotel, hire car and visa, work permits, where required.

Updating of travel data files, personnel data base, controlled documents

Monitoring and updating job planning schedule (Primavera)

Occasionally required to work outside the normal office hours or weekends (home base or office) due to changing service demands.

Assisting other team members as required

CONTACT WITH OTHERS

Contact with Elliott employees in India, regional offices

External contact with customers, suppliers, agencies, travel agents, embassies etc

Exposure to both internal and external auditors

Occasional travel

There is a requirement for the role holder to be confident in their dealings with internal and external stakeholders, maintaining a professional manner throughout.

SUPERVISION

Individual contributor.

SPECIFIC JOB RESPONSIBILITIES/COMPETENCIES

Under the direction of the Supervisor, and in close cooperation with the Field Service Manager, Regional Service Managers and Project Engineers, provides dedicated support to the Field Service Organization and our customers.

This includes Field Service assignment tracking, manpower and resource scheduling and organizing job specific HSE and technical training and travel arrangements.

The major goals are to enable the field service operation to meet the market requirements and to ensure operational continuity at all times.

Organize travel arrangements including hotel, flights, hire car, visas, work permits where required

Assist with occasional local purchasing

Maintain assignment schedule of the field personnel and customer requirements

Updates data files, skills registers, personnel database, and controlled documents.

Monitoring and updating of job planning schedule including tracking of tools.

Assist with Field Service assignment tracking and manpower scheduling

Administration of quotations and purchase orders

Assist with preparation of job-related crew letters

Performs general office work including occasional telephone answering service.

Any other ad hoc requirements as specified by the incumbent's Line Manager

Required to work outside the normal office hours or weekends (home base or office) due to changing service demands.
