Store Supervisor

We have urgent opening for Store supervisor/Store HOD for jewellery company.

**Min 7 - 10 years exp**

Qualification: Minimum Graduate. Diploma in Store and Purchase management would be an added advantage.

**Purchase Management**
- Supervise the entire process of purchase of material / hardware, which includes Quotation enquiry, comparative evaluation, final decision from technical / department head and final authority, receipt and inspection of the material, preparation and forwarding of invoice and receiving of bills

Prepare and maintain bill / challan records

Forward all bills to accounts with PO attached and with authorized signatory after proper checking of invoice as per approved rates.

Checks & sign Machinery/Assets form with submission in Accounts, Maintenance &concern dept.

Import material procurement planning & Order Execution as per re-order level along with necessary approval.

Check / verify Logistic part (Freight + Insurance) with Exim before finalise the import shipment.

Follow up remittance process with accounts & mail coordination with shipper for arranging the import shipments in time.

Coordination with Exim/ Accounts for Import shipment customs clearance formalities. Worked with internal /external auditors regarding inventory audits conduct

Supervise purchase record files

Ensure appropriate authorisation on all invoices are obtained for bill payments

Undertake Vendor Management activities, which includes:

- Coordination with existing vendor for timely clearance of payments from accounts & handling vendor queries / inquiries.

Searching new vendor & Participating in development of new material and products. Classification of vendors on the basis of criteria like cost, quality, timely delivery.

Create Database of Vendors / Substitute products / price / quality range

Check and supervise the following activities:

- Vendor list update, turnover reports, consumption reports (department consumption /division wise consumption), new item update, yearly consumption quantity comparison reports, supplier performance and query reports for all categories
- Preparation of Call letters
- Approved / Non approved letters to vendors
- Intimation to unit members and vendors the final + revised rate list.

**Compliances**

Ensuring documentation of:

- NSDL online wherever applicable
- Seepz Permission forms for stationery & other material
- Repair invoices
- Material Outward / Inward challans
- Checks “ARE1” & “R” Form, service tax documents against Excise / Octroi /service tax exemption in seepz zone

Ensure on time Octroi Duty / Clearing charges
- follow up and Payment with accounts.

Ensure obtaining and maintaining of MSDS for all the hazardous materials Stores Management

**Stores Management**

Check and supervise
- Receiving, arranging and dispatching of materials to the departments in time.
- Maintain proper & up to date records of all issue transactions.
- Liaison with production dept. to maintain optimum Inventory control especially during season time to achieve zero delay
- Exposure and maintain material storage, locations, FIFO as per requirements.
- Cleanliness and Safety measures in the storage section
- Chemical / Precious products
- Check & notify slow/unusable items details to Senior

Management to ensure they are suitably disposed off
- Trading sales invoices (outwards / purchase orders)

**Checks & supervise actions for store reports.**

Stock taking every 3 months & 31st March closing

Department monthly consumption reports forwarded to all concerned departments Month stock closing reports - Every month forwarded to accounts

Dept. reports - Every month forwarded to audit

Division wise consumption report forwarded to production manager.
