**Key Responsibilities**:
- **Greeting Visitors**: Welcome visitors in a warm and professional manner. Direct visitors to the appropriate person or department.
- **Answering Calls**: Manage incoming calls on a multi-line phone system. Provide information, take messages, and transfer calls to the appropriate person.
- **Managing Front Desk**: Maintain a tidy and organized reception area. Ensure that the front desk is always staffed during office hours.
- **Handling Mail and Deliveries**: Sort and distribute incoming mail and packages. Prepare outgoing mail and packages for pickup.
- **Scheduling**: Manage appointments and scheduling for meetings and conference rooms.
- **Administrative Support**: Assist with various administrative tasks, such as data entry, filing, and scanning documents.
- **Customer Service**: Provide excellent customer service to clients, visitors, and employees. Address inquiries and resolve issues promptly and professionally.
- **Maintaining Records**: Maintain accurate records of visitors, phone calls, and deliveries.
**Qualifications**:
- High school diploma or equivalent.
- Proven experience as a receptionist or in a similar role.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Professional appearance and demeanor.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Experience with multi-line phone systems is a plus.
