- Responsibilities_
- _Review payment proposal generated by accountant before it is submitted for approval to team._
- _Generate payment proposal for exceptional / VIP vendors if any highlighted by AP team/ Treasury teams._
- _Work with large volume excel spreadsheet to review, validate the payment data before submission for further approvals._
- _Facilitate payment proposal validation via BOT and flag discrepancies in the file_
- _Carry out tier 1 validation of vendor bank details by checking if the bank details are on the system. Flag the vendors where bank details are not available_
- _Facilitate mitigation of fallouts post manual cheque validation by document handling team, wherever required._
- _Work on payment fall outs due to discrepancy between payment proposal and DocuWare data_
- _Access SharePoint folder for payment confirmation uploaded by AP team and update journal on AX by creating unique ref#_
- _Upload payment confirmation on DocuWare for future reference_
- _Upload payment confirmation on SharePoint to facilitate BOT-driven vendor remittance_
- _Update Payment reference numbers in the trackers and establish appropriate follow up with teams to gather missing data to ensure accurate data is recorded._
- _Work with SMEs on resolving Customer return payments and Vendor payment
- returns in the bank._
- _Update payment query tracker and ensure timely follow up with teams and approvers where necessary._
- _Work with Invoice processing team in resolving payment blocks before proceeding to payment proposal run on daily basis or as per the defined schedule._
- _Work with teams to ensure direct debits are accounted appropriately._
- _Maintain 100% accuracy & turnaround time in payment proposal generation and support manager in circulating necessary payment reports._
- _Perform payment reconciliations as per the defined timelines._
- _Support and contribute to data collation & report building for operational metrics defined in the process._
- _Required hands-on experience in using excel to create reports, Pivot table, formatting and cleansing the data._
- _Periodically review Standard Operating Procedures (SOPs) to capture the changes and get them signed off with relevant approvers._
- _Participate in quality audits to perform required transaction deep dive analysis and support building appropriate root cause analysis (RCA) for the issues / errors/ observations highlighted by the audit teams._
- _Support quality/audit teams in payment audits and share relevant support documents with appropriate approvals as and when requested._
- _Adhere to defined payment process controls._
- _Identify process improvement opportunities and work with SMEs and transformation teams in developing solutions._
- _Work with manager to publish daily health metrics to internal management and raise caution on any challenges._
- _Support team priorities and initiatives and effectively manage workload & staffing._
- Additional Responsibilities:_
- _Perform payment reconciliations as per the defined timelines and establish approved follow up mechanism to resolve/close the open items with accuracy._
- _Review periodically on supplier direct debits, vendor credits and duplicate payments before generating payment proposal._
- _Follow up with Vendors, AP teams to resolve payment / banking related issues._
- _Periodically review Standard Operating Procedures (SOPs) with SMEs to capture the changes and get them signed off with relevant approvers._
- _Work closely with team to review AP ageing and support AP teams in building Cash flow / payment forecasting where necessary._
- _Create and circulate daily payment reports to relevant Teams. Maintain 100% accuracy & turnaround time in payment processing._
- _Conduct training sessions and workshops to enhance team knowledge and skills._
- _Participate in quality audits to ensure accuracy across teams in the process._
- _Review /update Root Cause Analysis (RCA) provided by the accountant and work with -SMEs in formalizing the resolutions and update them into SOPs._
- _Perform payment sample audit and educate the teams on errors with approved solution. Record errors along with Corrective Action and Preventive Action (CAPA) for the errors._
