2. Procurement: Obtain and follow up on quotes, assist with vendor registration, follow up on

invoices, checking deliveries, process procurement related paperwork such as signing and

filling invoices, Ellipse system capturing

3. Maintain an office filing system including paper files/file cabinets, shared electronic files.

4. Quality control of documentation, document archiving and document destruction.

5. Operate and maintain a wide‐variety of office equipment

6. Maintain all assets (office furniture, kitchen equipment etc., test equipment.) and storage

layout, suggest improvements, implement changes as needed or directed.

7. Transcribe, prepare and format minutes for approval, capturing and drafting reports

8. Prepare, type, format and proofread a wide variety of documentation including reports,

correspondence, memos

9. Manage travel-related bookings: Accommodation, flights and vehicle rentals

10. Scheduling services of plant equipment such as forklifts and site vehicles

11. Manage and control office consumables including office supplies, postage system, kitchen

supplies, printer and copier supplies, stationary, etc.

12. Build, monitor & maintain relationships with all catering, local municipality, printing & other

office supply vendors; monitoring costs & invoices to approved levels

13. Order / purchase food for the office, Friday lunches and food for any special events

14. Arrange for Postage and courier services including shipping

15. Events Planning: Organise site visits, manage invitations

16. Perform Site Inductions and orientation programs for new persons

17. Capture Timekeeping, overtime, standby and callouts for internal and contractors and also

consolidate and capture of intern monthly hours.

18. Update noticeboards

19. Track person and contractor activities and person locations of the site

20. Maintain Plant activity Calendars

21. Manage boardrooms, schedule video conference facilities (Blue jeans)

22. Manage warehouse activities: goods receiving, goods off-loading and storage, stock takes

and controlling

23. Assist in capturing credit card and garage card claims

24. Manage Ellipse (CMMS) purchase requests

25. Maintain access control and verify against the security invoice.

26. Maintain Lists: valid driver’s licences, medicals, access control list, first aid, PPE, IT

equipment, etc.

27. Log all IT-relate
