**Position Title**: Hospital Receptionist
**Department**: Front Desk
**Reports To**: Office Manager / Administrative Head

**Job Summary**:
The Hospital Receptionist serves as the first point of contact for patients, visitors, and staff at the hospital. This role involves managing the front desk area, providing customer service, answering phone calls, scheduling appointments, and handling administrative tasks. The receptionist ensures that all visitors are greeted warmly, inquiries are addressed efficiently, and the administrative processes run smoothly.

**Key Responsibilities**:

- **Front Desk Management**:

- Greet patients, visitors, and staff in a professional and friendly manner.
- Check-in and check-out patients, ensuring all necessary information is collected accurately.
- Direct visitors and patients to the appropriate departments or personnel.
- Answer phone calls, route them to the appropriate department, and take messages as needed.
- Respond to inquiries regarding hospital services, procedures, and appointment scheduling.
- Provide general information to callers and assist with basic questions or concerns.
- **Appointment Scheduling**:

- Schedule, reschedule, and confirm patient appointments for various medical services.
- Ensure that the schedules of medical professionals are kept up to date.
- Maintain patient appointment records and send reminders as needed.
- **Administrative Support**:

- Process patient admissions and ensure all forms and documents are completed accurately.
- Maintain and organize patient files and records, ensuring confidentiality and HIPAA compliance.
- Assist with billing inquiries, ensuring patients have the correct insurance or payment information.
- Handle administrative tasks such as data entry, filing, and photocopying.
- **Patient and Visitor Assistance**:

- Provide directions and assistance to patients and visitors within the hospital.
- Address and resolve patient complaints or concerns promptly, escalating to the appropriate department when necessary.
- Coordinate with medical and administrative staff to ensure timely services for patients.
- **Team Collaboration**:

- Work closely with other receptionists and hospital staff to ensure smooth operations.
- Assist in emergency or urgent situations, as required by hospital policies.
- Maintain a calm and professional demeanor during stressful or busy periods.
- **Compliance and Documentation**:

- Ensure compliance with hospital policies, including data protection and confidentiality standards.
- Maintain accurate patient data in accordance with health regulations.

**Qualifications**:

- **Education**: High school diploma or equivalent required; Associate’s degree or relevant certification in office administration preferred.
- **Experience**: Previous experience in a receptionist, customer service, or administrative role is preferred, ideally in a healthcare or medical setting.
- **Skills**:

- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and hospital management software.
- Ability to handle sensitive and confidential information with discretion.
- Knowledge of medical terminology and procedures is a plus.

Pay: ₹18,000.00 - ₹22,000.00 per month
