The Receptionist serves as the first point of contact for students, faculty, staff, and visitors at the college/university. This role is critical in providing a welcoming and professional environment, managing front desk operations, and offering administrative support to ensure smooth daily functioning. The Receptionist will handle inquiries, direct visitors, and manage communication channels effectively.

Key Responsibilities:
Front Desk Management:
Greet and welcome students, staff, faculty, and visitors with a friendly and professional demeanor.

Manage the front desk area, ensuring it is organized, clean, and presentable at all times.

Answer and direct phone calls to appropriate departments or individuals.

Respond to inquiries from visitors and callers, providing accurate information or directing them to the appropriate resource.

Visitor Management:
Maintain a visitor log and issue visitor badges as necessary.

Ensure all visitors are directed to their intended destinations within the campus.

Assist in coordinating campus tours for prospective students and their families.

Administrative Support:
Assist with scheduling meetings, appointments, and room bookings.

Handle incoming and outgoing mail, packages, and deliveries.

Assist with filing, data entry, and maintaining office supplies inventory.

Prepare and distribute internal communications, such as memos, notices, and bulletins.

Communication & Coordination:
Serve as a liaison between departments, ensuring clear and effective communication across the campus.

Provide support during events, such as orientation, graduation, and other campus activities.

Crisis Management:
Act as a point of contact for emergency situations, following established protocols to ensure the safety and security of students, staff, and visitors.

Communicate urgent matters to the appropriate authorities or campus security when necessary.

Record Keeping & Reporting:
Maintain records of student attendance, visitor logs, and any relevant documentation required by the administration.

Prepare and submit reports on front desk activities and visitor statistics to the Office Manager/Administrative Supervisor.

Qualifications:
Education: High school diploma or equivalent; an associate degree in office administration or a related field is preferred.

Experience: 1-3 years of experience in a receptionist, administrative, or customer service role, preferably in an educational setting.

**Skills**:Excellent communication and interpersonal skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Strong organizational and multitasking abilities.

Ability to handle confidential information with discretion.

Basic knowledge of office equipment (e.g., photocopiers, printers, fax machines).
