**Job Title**: Receptionist
**Department**: Administration/Front Office
**Reports To**: Office Manager/Administrative Supervisor
**Job Summary**:
The Receptionist is the first point of contact for visitors and callers, responsible for delivering excellent customer service while managing the front desk operations. This role includes greeting guests, handling phone calls, managing schedules, and performing various administrative tasks to ensure smooth office operations.
**Key Responsibilities**:
- **Front Desk Management**:
- Greet and welcome visitors with a professional and friendly demeanor.
- Maintain a tidy and presentable reception area at all times.
- Answer, screen, and direct incoming phone calls in a courteous manner.
- **Visitor Management**:
- Register and track visitors, issue visitor badges, and ensure security protocols are followed.
- Inform employees of visitor arrivals and assist guests with directions within the office.
- **Scheduling and Appointments**:
- Assist in scheduling meetings, conference rooms, and appointments.
- Coordinate with staff to ensure meeting rooms are prepared and equipped as needed.
- **Administrative Support**:
- Assist with general administrative tasks, such as photocopying, scanning, and filing documents.
- Receive, sort, and distribute incoming mail and deliveries; manage outgoing mail.
- **Office Supplies and Inventory**:
- Monitor office supplies and place orders as needed to ensure stock levels are maintained.
- Keep track of inventory and ensure that the reception area is adequately supplied.
- **Data Entry and Record Keeping**:
- Maintain accurate records of visitors, calls, and other front desk activities.
- Update and manage contact lists, databases, and schedules as required.
- **Customer Service**:
- Address customer inquiries and provide assistance or redirect as necessary.
- Handle basic complaints and provide information about company services.
- **Coordination with Other Departments**:
- Work closely with the administrative and facilities teams to support office operations.
- **Ad Hoc Tasks**:
- Perform other duties as assigned by management, including assisting with special projects and events.
**Qualifications**:
- High school diploma or equivalent; associate degree or related certification is a plus.
- Proven experience as a receptionist, front office representative, or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (e.g., printers, fax machines).
- Strong verbal and written communication skills.
- Excellent customer service skills with a professional attitude.
- Ability to multitask, prioritize, and manage time effectively.
- Attention to detail and problem-solving skills.
- Familiarity with office security protocols and visitor management systems is desirable.
**Work Environment**:
Office setting with a reception area. Requires regular interaction with staff, visitors, and callers. May involve occasional extended hours, depending on the business needs.
Pay: ₹8,000.00 - ₹12,000.00 per month
