REALISATIONS CLES ATTENDUES
Assistanat auprès de l’équipe:
- Traite toutes les demandes de l’équipe dans les délais et en fonction des priorités ou réoriente si besoin (ex : support déplacements et notes de frais, dépannages divers, accès sur site ou secteur badgé ).
- Gère l’administration du Personnel : procède aux encodages / opérations spécifiques dans les délais (absentéisme hors congés, visites médicales, formations obligatoires, fiches de mutation, accueil nouvel arrivant, départ ).
- Gère les accès informatiques à l’arrivée et au départ du Personnel : commandes de matériels, disques partagés, accès aux salles
- Organise les réunions récurrentes du service (planification et logistique) et des réunions sur demande des membres de l’équipe (optionnel) : respecte les délais d’organisation, la durée demandée, réserve les salles, envoie les invitations aux participants, transmet l’ordre du jour et le lieu.
- Rédige les comptes rendus des réunions. (optionnel)
- Organise la logistique des déplacements du Manager via les outils à disposition. (optionnel)
- Applique et fait connaître les règles d’archivages des documents (confidentialité et conservation).
- Archive les documents légaux et règlementaires.
Gestion des achats de l’entité:
- Gère les commandes et demandes d’achats de son entité en utilisant les outils à disposition en fonction des besoins du service et des demandes ponctuelles.
- Réceptionne les demandes d’achats et transmet les factures sans commande au prestataire externe.
- Applique les règles des achats et sensibilise l’équipe.
- Valide les factures sans commande. (optionnel)
- Suit le budget des achats externes : fournitures, prestataires. (optionnel)
Relais de l’information:
- Assure le relais de l’information nécessaire au bon fonctionnement de l’entité : diffuse les informations dans les délais par le biais du Manager et/ou par mail avec les listes de diffusion adéquates et/ou assure la mise à jour du panneau d’affichage lorsque nécessaire.
- Diffuse les notes de l’entité et les notes du Groupe.
- Rédige les notes de l’entité. (optionnel)
- Met à jour les différentes listes (diffusion, organigramme ).
Accueil et Image du service:
- Accueille chaque visiteur ou interlocuteur téléphonique (hors entité ou externe), oriente et donne une réponse adaptée à son besoin.
