**Job Summary**:
As a **Trip Coordinator**at Milan Holidays, you will be responsible for leading and coordinating group and individual trips to various destinations. You will ensure that clients have a seamless and enjoyable experience throughout their journey by providing guidance, managing logistics, and ensuring that all arrangements are executed as planned. Your role will be vital in representing Milan Holidays on the ground, ensuring client satisfaction and the smooth operation of each trip.
**Key Responsibilities**:
**1. Trip Coordination and Execution**
- Lead and guide clients during trips, ensuring all elements of the itinerary are followed, and addressing any issues or changes promptly.
- Ensure that all travel logistics, including transportation, accommodation, and activities, are well-coordinated and run smoothly during the trip.
- Act as the main point of contact for clients throughout the journey, providing guidance, support, and assistance as needed.
- Conduct regular check-ins with clients during the trip to ensure their needs are met and resolve any challenges they may face.
**2. Client Interaction and Customer Service**
- Build strong relationships with clients by offering personalized travel support, ensuring their expectations are exceeded.
- Provide clear instructions and updates to clients before, during, and after the trip, ensuring they are well-informed at all times.
- Address customer queries, provide solutions, and manage any concerns effectively to ensure high customer satisfaction levels.
**3. Coordination with Vendors and Partners**
- Liaise with hotels, transport providers, and activity partners to confirm reservations and ensure the highest service standards.
- Oversee group logistics with local service providers to guarantee timely and efficient execution of tours, events, and excursions.
- Ensure that all local suppliers and service partners adhere to the company’s standards of quality and service.
**4. Safety and Compliance**
- Ensure that clients’ safety and well-being are prioritized at all times during the trip, following company policies and local regulations.
- Carry out risk assessments for each trip and communicate necessary precautions to clients.
- Ensure all travel documentation (itinerary, tickets, etc.) is organized and accessible to clients as needed.
**5. Post-Trip Feedback and Reporting**
- Gather client feedback after the trip to assess their satisfaction levels and identify areas for improvement.
- Assist in compiling post-trip reports, including any issues encountered, solutions implemented, and overall feedback on the trip’s execution.
- Provide recommendations for future trips based on customer feedback and your experience on the ground.
**6. Promotional and Administrative Support**
- Support the marketing team with trip-related content, including photography, video footage, and testimonials from clients.
- Assist in preparing promotional materials for future trips based on client experiences.
- Help in maintaining administrative records and ensuring all necessary documentation is up to date for each trip.
**Key Requirements**:
**Educational Qualifications**:
- A degree or diploma in Travel & Tourism, Hospitality, or related fields is preferred.
- Additional certifications in travel coordination or tourism management are a plus.
**Experience**:
- Previous experience in trip coordination, tour guiding, or similar roles in the travel industry is highly desirable.
- Familiarity with travel planning, logistics, and customer service.
**Skills**:
- Strong communication skills with the ability to engage clients and partners effectively.
- Excellent organizational and multitasking abilities.
- Problem-solving skills, with the ability to handle challenges calmly and efficiently.
- Knowledge of various destinations, local cultures, and tourist attractions.
- Ability to work independently as well as within a team environment.
- Proficiency in languages such as English, Hindi, Arabic, and Malayalam is an advantage.
