**JOB PROFILE**
**RESPONSIBILITIES**
**A. Facility and Infrastructure Management**
- Oversee the maintenance and upkeep of the ISPP campus, ensuring a safe, clean, and functional work environment.
- Coordinate repairs, maintenance, and upgrades with relevant vendors and service providers.
- Develop and implement safety protocols, including fire, theft, and emergency preparedness measures.
**B. Procurement and Vendor Management**
- Manage procurement processes for office supplies, equipment, and program-related materials.
- Identify, negotiate, and maintain strong relationships with vendors and service providers to ensure cost efficiency and quality.
- Monitor vendor performance and manage contracts and agreements to ensure compliance with terms.
**C. Travel and Logistics Coordination**
- Organize domestic and international travel arrangements, including tickets, accommodation, and transport for staff, faculty, and guests.
- Manage logistics for meetings, events, and workshops, ensuring smooth operations and timely execution.
**D. Event Management**
- Plan, coordinate, and oversee events, workshops, and training sessions, including venue selection, logistics, materials procurement, and on-ground support.
- Ensure seamless execution by managing all event-related tasks such as registrations, catering, and technical requirements.
**E. Office Operations and Process Management**
- Develop and implement efficient administrative systems, processes, and workflows to streamline operations.
- Ensure inventory management of office supplies, equipment, and pantry stocks.
- Draft and maintain administrative documentation, including rental agreements, property tax records, insurance, and compliance-related paperwork.
- Monitor office expenses to optimise costs and support budget management.
**F. Risk Management and Safety Compliance**
- Develop risk assessment plans for office infrastructure and ensure safety and security standards adherence.
- Conduct regular checks to ensure proper implementation of safety protocols and maintenance of facilities.
**G. Team Coordination**
- Supervise support staff to ensure timely task execution and effective management of day-to-day operations.
- Provide guidance to support staff and monitor their work to maintain office productivity and efficiency.
**H.** **Pantry Management**: Ensure adequate pantry supplies.
**I.** **Human Resource Management**:Assist in the effective implementation and execution of HR processes to support organisational goals and employee engagement.
**SKILLS**
- Excellent organisational, multitasking, and time management abilities.
- Strong negotiation and relationship management skills for vendor and supplier coordination.
- Proactive and solutions-oriented approach to addressing challenges.
- Ability to communicate clearly and effectively in English and Hindi.
- Proficiency in MS Office tools (Word, Excel, PowerPoint) and familiarity with administrative systems.
- Proficiency with ZOHO suite would be an added advantage.
- Ability to manage budgets and optimise resources.
- Fluency in English and Hindi.
**QUALIFICATIONS AND EXPERIENCE**
- 2-4 years of experience in office administration, facility management, event coordination, or similar roles.
- Prior experience in managing vendors, logistics, and infrastructure is highly desirable.
**COMPENSATION**
Rupees 30-40 thousand per month.
**Job Types**: Full-time, Permanent
Pay: ₹30,000.00 - ₹40,000.00 per month
