**Job Summary**:
The Admin Executive will provide comprehensive administrative support to ensure efficient operation of the office. This role involves handling clerical tasks, managing office supplies, coordinating with vendors and staff, and supporting the management team in daily operations, particularly in the context of waste management services.
**Key Responsibilities**:
- **Office Administration**:
- Manage day-to-day administrative tasks including filing, data entry, and handling correspondence.
- Maintain records of company assets, licenses, permits, and regulatory documents.
- Ensure compliance with environmental regulations, government reporting, and safety documentation.
- **Vendor & Contractor Coordination**:
- Liaise with service providers (e.g., vehicle maintenance, cleaning, safety equipment) and ensure timely service delivery.
- Track and maintain contracts for waste collection, recycling, and disposal partners.
- **Inventory & Procurement**:
- Monitor and manage stock of office and operational supplies.
- Raise purchase orders, track deliveries, and maintain procurement records.
- **Staff Support**:
- Assist in organizing staff schedules, attendance records, and timesheets.
- Coordinate meetings, training sessions, and site visits.
- Support HR in onboarding, document collection, and internal communication.
- **Reporting & Documentation**:
- Prepare regular reports (daily, weekly, monthly) related to administrative functions, expenses, and compliance.
- Maintain confidential records and databases, both physical and digital.
**Qualifications & Skills**:
- Bachelor’s degree in Business Administration or related field.
- 2+ years of experience in an administrative role, preferably in logistics, waste management, or facility services.
- Strong knowledge of MS Office (Word, Excel, PowerPoint).
- Good communication and organizational skills.
- Ability to multitask and work under mínimal supervision.
- Basic understanding of waste management regulations is a plus.
