**Role & responsibilities**
Front Office Duties:
- Greet and welcome guests as soon as they arrive at the office.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward incoming phone calls.
- Ensure reception area is tidy and presentable, with all necessary stationery and material
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Update calendars and schedule meetings.
Administrative Duties:
- Ensure biometric system (Face/fingerprint/access card) enrolment for the new joiners
- Deactivate access rights of the resigned employees
- Streaming contents in the digital signage
- Posters design, invitation, survey forms creation for organization events.
- Prepare welcome display for the guests visits.
- Ensure guest visit arrangements like conference rooms, cab arrangements, accommodations, refreshments, and lunch/dinner arrangements etc.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Provide general support to visitors.
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
- Organize and schedule appointments.
- Assist in the preparation of regularly scheduled
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite.
- Professional attitude and appearance.
- Solid written and verbal communication skills.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service attitude.
