**Job Title: Front Desk Executive**
**Job Overview**: The Front Desk Executive is the first point of contact for all visitors, clients, and guests. This role is responsible for providing excellent customer service, managing front office operations, and ensuring a smooth and professional experience for everyone who enters the facility. The Front Desk Executive will be expected to handle a variety of administrative tasks, including answering phone calls, scheduling appointments, managing inquiries, and assisting with general office duties and communicate between departments.
**Key Responsibilities**:
- **Reception & Customer Service**:
- Greet and welcome visitors, clients, and guests in a professional and friendly manner.
- Answer incoming calls, transfer them to the appropriate department, or provide necessary information.
- Assist visitors with registration, directions, and inquiries about the office or company.
- Ensure a clean, organized, and welcoming front desk area at all times.
- **Administrative Support**:
- Schedule and manage appointments, meetings, and conference room bookings.
- Assist in administrative tasks such as filing, data entry, and document management.
- Maintain office supplies inventory and reorder supplies when necessary.
- Handle incoming and outgoing mail and deliveries.
- **Communication**:
- Act as a liaison between visitors and staff, ensuring smooth communication.
- Keep relevant parties informed of any guest arrivals or office updates.
- **Security & Confidentiality**:
- Ensure that all visitors sign in upon arrival and receive necessary access passes or badges.
- Maintain confidentiality regarding sensitive company information and client data.
- Follow safety and security protocols, including emergency procedures.
- **Support to Other Departments**:
- Provide assistance to other departments with ad-hoc tasks, such as coordination for meetings, events, or special projects.
- Ensure that office events and meetings run smoothly, including catering arrangements if needed.
**Skills & Qualifications**:
- **Education**: High school diploma or equivalent; additional certification in office administration or customer service is a plus.
- **Experience**: Previous experience in a front desk or customer service role preferred.
- **Technical Skills**: Proficiency with office software (e.g., MS Office Suite) and basic office equipment (e.g., phones, printers).
- **Communication**: Excellent verbal and written communication skills.
- **Interpersonal Skills**: Strong ability to interact with people of all levels, both internally and externally.
- **Time Management**: Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- **Organizational Skills**: Attention to detail, strong organizational skills, and the ability to maintain a tidy and efficient workspace.
**Working Conditions**:
- Full-time position with standard office hours.
- Occasional overtime or weekend work may be required for special events or busy periods.
- The role requires standing or sitting for long periods and some physical tasks, such as organizing supplies and assisting with mail.
**Job Types**: Full-time, Permanent
Pay: ₹20,000.00 - ₹25,000.00 per month
