Morrison Hershfield is seeking a Project Coordinator to join our Mission Critical Facilities Commissioning Department to work in our Visakhapatnam office. The focus of this position is to provide administrative support to the MCF Commissioning division of Morrison Hershfield, which is a multi-disciplinary engineering and management firm. This position will report to the Commissioning Department Manager. Responsibilities include but are not limited to: creating & maintaining proposal materials, scheduling travel for commissioning team members, coordinating and distributing documents received during the construction phase, issuing deliverables to the client, editing and formatting commissioning reports, as well as general administrative duties. These administrative duties include formatting, editing, event planning, lunch and learn coordination, and working with the administration team to provide additional support as needed.
**Responsibilities**:
- Assists with coordination and execution of administrative work for MCF Cx Department. This includes reports, proposals, project schedules, and business correspondence (agendas, meeting minutes, memos, etc.)- Coordinates contact lists and groups. Create and continually develop shared address books, business cards and contact lists with various programs (Outlook, CCRM, Lync, etc.)- Attends meetings as required and prepare meeting minutes (as required) including monthly staff meetings, weekly business development meetings, project management and staff meetings for projects- Assists with quality control of MH documents: proofreading, formatting, reproduction, collation and binding of presentations, documents & reports- Edits and formats reports generated by project managers- Produces and assembles time sensitive proposals and reports for projects- Maintains administrative and financial filing- Provides administrative assistance to the cx department manager which includes coordinating travel arrangements, presentations, seminars and interviews- Coordinates with other members of the administrative team to provide support as needed to other divisions in the company
Qualifications:
- 1 to 3 years of entry-intermediate level administrative experience, preferably in an engineering or commissioning firm- Strong computer skills in Word, Excel, Power Point, MS Outlook and MS Project- Proven experience with deadlines and time-sensitive projects- Excellent interpersonal, written and oral communication skills- Extremely detailed oriented- Excellent time management and organizational skills- Ability to exercise good judgment, show initiative and be proactive- Ability to work independently, take initiative and multi-task to meet deadlines in a fast-paced engineering environment- Ability to work well in a team environment with constantly shifting priorities.- A strong sense of professionalism, tact and confidentiality.- Experience with Adobe, Bluebeam and Visio would be an asset
