**Purchasing Assistant**

**Job Summary**:
The Purchasing Assistant supports the purchasing team by preparing and processing purchase orders, handling vendor communication, maintaining accurate documentation, and assisting with general office tasks related to procurement.

**Responsibilities**:

- Prepare and process purchase orders, vendor forms, and purchasing documents.
- Review purchase orders for accuracy, pricing, and required attachments.
- Maintain purchasing records, logs, and files accurately.
- Assist with bid receipt, logging, and routing documents for approval.
- Enter requisitions into software systems (e.g., QuickBooks) and verify coding.
- Provide administrative support such as preparing reports, letters, and spreadsheets.
- Assist visitors and ensure proper access procedures are followed.
- Ensure timely follow-ups on purchasing tasks and deadlines.
- Provide customer service and act as backup for purchasing team members when needed.

**Qualifications**:

- College Graduate preferably Business Course/ Accounting Related Courses
- Experience in purchasing, admin support, or related field preferred.
- Strong attention to detail with excellent spelling, grammar, and documentation skills.
- Strong communication and customer service skills.
- Ability to multitask, manage time well, and work in a fast-paced environment.
