Internal Coordination and Purchase Coordinator

To oversee the coordination of internal communication between departments and manage the procurement of goods and services to ensure smooth operational workflow within the organization.
**Key Responsibilities**:
**Internal Coordination**:
- **Communication Management**:
- Act as a liaison between various departments to facilitate effective internal communication and smooth information flow.
- Organize and attend internal meetings, providing updates and following up on action items.
- Ensure that teams have the necessary information to complete their tasks in a timely manner.
- **Document and Report Handling**:
- Prepare and manage reports for internal teams, including updates on procurement status, budget tracking, and project timelines.
- Maintain detailed records of communications and transactions for easy access by relevant teams.
- **Problem Resolution**:
- Address and resolve internal issues that may arise due to procurement delays, miscommunications, or discrepancies between departments.
- Act as the point of contact for internal teams facing issues with procurement processes.
**Purchase and Procurement**:
- **Vendor Management**:
- Identify, evaluate, and select vendors based on quality, cost, and delivery time.
- Build and maintain strong relationships with suppliers and service providers.
- Negotiate favorable terms and prices with vendors to ensure the best value for the company.
- **Purchase Order Management**:
- Create, track, and manage purchase orders (POs) to ensure timely procurement of goods and services.
- Coordinate with suppliers to ensure accurate and on-time delivery of goods and services.
- Maintain up-to-date records of POs and stock levels.
- **Inventory Management**:
- Monitor and manage inventory levels to ensure stock availability and prevent shortages.
- Conduct regular inventory audits and ensure the proper handling of surplus or obsolete stock.
- **Quality Control and Compliance**:
- Ensure that all purchased goods and services meet company standards and comply with regulations.
- Coordinate with internal teams to verify the quality of procured items and resolve discrepancies.
**Collaboration with Finance**:
- Work closely with the finance department to ensure timely payment to vendors and resolve any issues related to invoices, credits, or payments.
**Qualifications and Skills**:
**Educational Requirements**:
- Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field.
- Graduate from Science field, Electronics Field.
- Certifications in Procurement or Supply Chain Management (e.g., CIPS, APICS) are a plus.
**Experience**:
- 1-3 years of experience in internal coordination, procurement, or purchasing, preferably in a corporate or manufacturing environment.
**Key Skills**:
- **Communication**: Strong verbal and written communication skills to interact with internal teams and external suppliers.
- **Organization**: Excellent organizational skills to manage multiple projects, deadlines, and priorities.
- **Problem Solving**: Ability to handle procurement-related challenges and resolve conflicts internally.
- **Negotiation**: Proficiency in negotiating contracts and terms with suppliers to achieve cost savings and favorable conditions.
- **Attention to Detail**: Strong focus on accuracy, especially when managing orders, invoices, and reports.
- **Time Management**: Ability to handle multiple tasks efficiently and meet deadlines.
- **Computer Skills**: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).

- **Timely Purchase Order Fulfillment**: Ensuring that orders are processed and delivered on time.
- **Cost Savings**: Ability to negotiate favorable terms and reduce procurement costs.
- **Vendor Performance**: Quality of vendor relationships and on-time delivery of goods.
- **Inventory Management**: Efficiency in managing inventory levels and reducing stockouts or excess stock.
**Internal Coordination Efficiency**: Speed and clarity in internal communications and resolution of issues.

Pay: ₹30,000.00 - ₹40,000.00 per month
