**Recruitment**:Office Admin Executive

**Job description**:
**Key Responsibilities**:

- **Office Management**: Oversee the general upkeep and organization of the office space, ensuring a clean, tidy, and functional environment.
- **Front Desk Operations**: Manage the reception area, greet visitors, answer and direct phone calls, and handle incoming and outgoing mail and deliveries.
- **Administrative Support**: Provide comprehensive administrative and clerical support to the team, including scheduling meetings, managing calendars, preparing correspondence, and organizing documents.
- **Supply Management**: Monitor and maintain office supplies, placing orders when necessary and ensuring adequate stock levels.
- **Equipment Maintenance**: Coordinate with vendors for the maintenance and repair of office equipment (e.g., printers, copiers).
- **Meeting Coordination**: Schedule and coordinate meetings, including booking meeting rooms, preparing agendas, and taking minutes as required.
- **Travel Arrangements**: Assist with travel arrangements for employees, including booking flights, accommodations, and transportation.
- **Data Entry and Record Keeping**: Maintain accurate and organized electronic and physical records and files.
- **Invoice Processing and Expense Tracking**: Assist with processing invoices, tracking expenses, and preparing expense reports.
- **Liaison with Vendors and Service Providers**: Communicate with external vendors and service providers for various office-related needs.
- **Facility Management Support**: Assist with basic facility management tasks, such as coordinating with building management for maintenance or repairs.
- **Event Coordination**: Assist with the planning and execution of office events and meetings.
- **Maintaining Confidentiality**: Handle sensitive information with discretion and maintain confidentiality.
- **Ad-hoc Administrative Tasks**: Perform other administrative and clerical duties as assigned to support the team and ensure efficient office operations.

**Qualifications and Experience**:

- 1+ years of experience in an office administration role.
- Proven ability to manage a wide range of administrative and clerical tasks.
- Excellent organizational and time management skills, with a strong attention to detail.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong interpersonal skills and a professional demeanor.
- Ability to work independently and as part of a team.
- Proactive and resourceful with a problem-solving attitude.
- Ability to prioritize tasks and manage multiple deadlines.
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
