Terms of Reference
**Title**:Chief of Staff (CoS)**
The CoS acts as a force multiplier for the DG by freeing up DG’s time to focus on strategic activities such as forging alliances and partnerships, long-term strategizing, resource mobilization and focusing on growing the organisation. The CoS brings complementary skills which increases the bandwidth of the DG and acts as the go-to person for the DG and the Executive Team reporting to the DG.
The incumbent will fulfil the following responsibilities:
- **Strategic Management**
- Lead organisation-wide strategic initiatives which are critical to support the future growth of the organization.
- Advise the DG on matters related to Governance, Risk and Compliance, including legal and audit issues.
- Lead risk management and business continuity management functions on behalf of the DG in consultation with the executive team.
- Co-lead with DG on big ticket resource mobilisation initiatives.
- **Operational Management**
- Serve as the DG’s primary liaison with the Governing Council and Executive Team.
- Provide a bridge for smooth communication and coordination between the DG Office and internal departments, programs and regional offices.
- Research, prioritise and follow-up on issues, including those of confidential and sensitive matters, and determine appropriate course of action, referral or response.
- Keep DG well informed of upcoming commitments and ensure that the DG is well prepared for meetings, presentations, talks, interviews or any other interaction.
- Prioritise conflicting needs, handle matters expeditiously and proactively follow-through matters to ensure smooth day-to-day operations of the DG Office.
- **Program Management**
- _Weekly:_
- Manage DG’s priorities to maximize her effectiveness.
- Plan the week with DG and ensure she has access to necessary information and deliverables.
- Ensure DG is well briefed on upcoming events/meetings.
- Brief DG on all important documents passing through DG’s office.
- _Quarterly:_
- Serve as the DG’s representative on various committees/meetings and connect the dots with other parts of the organisation.
- Key meeting facilitation: Brief the DG in preparation for key meetings; capture major takeaways and follow-up with stakeholders on deliverables/action points.
- _Annual:_
- Facilitate DG to prepare for Governing Board meetings and other leadership meetings (executive leadership offsite, etc.)
- **Relationship Management**
- Follow-up on action items from DG’s meetings with key donors/partners.
- Assist DG in relationship building and management with various internal and external stakeholders.
- Manage working relationships with all key stakeholders.
- **Communications**
- Assist in preparing articles, presentations and talking points for the DG.
- Act as the DG’s representative and ambassador to external forums/events as directed.
- Manage DG’s social media channels - Twitter, LinkedIn, and other social media channels (in case these are not under the purview of communications unit)
- **Qualification: Science Graduate, MBA or Equivalent**
**Experience -10-15 years**
**Tentative Budget Range - 12-15 Lacs**
**Salary**: ₹100,000.00 - ₹120,000.00 per year
