Parts Executive

Job Description:
**Key Responsibilities**:

- **Parts Management**:

- Handle the procurement, stocking, and distribution of spare parts for construction machinery, specifically excavators and backhoe loaders.
- Monitor inventory levels to ensure availability of critical parts and maintain optimal stock levels.
- Organize and label parts systematically for easy retrieval and efficient inventory control.
- **Supplier Coordination**:

- Establish and maintain relationships with suppliers to source genuine parts at competitive prices.
- Negotiate pricing and delivery terms to meet the company’s cost and time requirements.
- Track orders and follow up with suppliers to ensure timely delivery of parts.
- **Order Processing**:

- Process internal and external parts requests in a timely manner.
- Assist the service team by ensuring that required parts are available for repairs and maintenance.
- Manage customer parts orders, providing recommendations on parts selection and availability.
- **Inventory Control**:

- Conduct regular audits of inventory to avoid discrepancies and ensure accurate stock records.
- Implement inventory control techniques like first-in-first-out (FIFO) or just-in-time (JIT) to optimize stock turnover.
- Maintain accurate records of parts movements, including receipts, issues, returns, and disposals.
- **Reporting & Documentation**:

- Maintain documentation of all parts transactions, including purchase orders, invoices, delivery notes, and stock adjustments.
- Prepare reports on stock levels, parts usage, and procurement trends to assist in decision-making.
- Report slow-moving or obsolete parts to management and suggest actions for disposal or clearance.
- **Customer Support**:

- Handle customer inquiries related to parts availability, pricing, and delivery schedules.
- Provide technical advice to customers and the service team on parts compatibility and specifications.
- Address and resolve any issues related to part orders, ensuring customer satisfaction.
- **Cost Management**:

- Monitor parts costs and ensure that purchases are made within budget.
- Identify opportunities to reduce costs through supplier negotiations or alternate sourcing while maintaining quality.

**Skills & Qualifications**:

- **Technical Knowledge**:

- Strong understanding of mechanical components and systems used in **excavators** and **backhoe loaders**.
- Knowledge of genuine and aftermarket parts for construction equipment.
- **Inventory Management**:

- Experience in managing spare parts inventory, including stock control, reorder levels, and audits.
- Familiarity with inventory management software or ERP systems for parts management.
- **Vendor & Supplier Management**:

- Ability to build strong relationships with suppliers and negotiate effectively to secure favorable terms.
- Experience in tracking and managing supplier deliveries to ensure on-time part availability.
- **Customer Service Skills**:

- Strong communication skills for interacting with customers, suppliers, and the internal service team.
- Ability to respond promptly to customer needs and ensure a high level of satisfaction.
- **Organizational Skills**:

- Excellent organizational and time management skills to handle multiple tasks and prioritize work.
- Attention to detail in maintaining accurate inventory records and parts documentation.
- **IT Skills**:

- Proficient in using inventory management systems and Microsoft Office (Word, Excel, etc.).
- Knowledge of ERP systems or parts catalog software is a plus.

**Preferred Experience**:

- Previous experience in working with **inventory control systems** and implementing efficient stock management processes.
- Understanding of **supply chain management** and procurement best practices in the context of heavy machinery parts.

**Work Environment**:

- **Location**: Warehouse or service center-based, with occasional site visits.
- **Physical Requirements**: May involve lifting and moving parts in a warehouse environment.

**Location : Nagpur, Maharashtra**

**Qualification : Diploma/ B.E Mechanical**

**Experience : 2 to 6 years**

**Salary : 30k -35k**
