Job Duties
Stenography Responsibilities:
1. Transcription: Accurately transcribe spoken words into written form during meetings, speeches, court hearings, or other events.
2. Note-Taking: Quickly and efficiently take shorthand notes during live events or dictations.
3. Editing: Proofread and edit transcripts for clarity and accuracy.
4. Documentation: Maintain organized records of all transcriptions and related documents.
Secretarial Responsibilities:
1. Administrative Support: Manage calendars, schedule meetings, and arrange appointments for executives or other staff.
3. File Management: Organize and maintain electronic and paper files, ensuring they are easily accessible.
4. Office Coordination: Assist in the coordination of office activities, events, and operations.
5. Customer Service: Serve as a point of contact for clients and visitors, providing assistance and information as needed.
Skills Required
1. Shorthand Proficiency: Excellent shorthand skills for quick and accurate note-taking.
2. Typing Speed: High typing speed with accuracy, often around 80-100 words per minute.
3. Attention to Detail: Strong focus on accuracy and detail, especially in transcriptions and document preparation.
4. Organizational Skills: Ability to manage multiple tasks, prioritize work, and maintain a well-organized workspace.
5. Communication Skills: Excellent written and verbal communication skills.
6. Technical Proficiency: Familiarity with office software (e.g., MS Office Suite) and transcription software.
7. Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality.
8. Time Management: Efficient in managing time to meet deadlines and handle various tasks simultaneously.
**Qualifications**:
1. Education: A high school diploma or equivalent is typically required. Additional coursework or certification in stenography or secretarial studies is beneficial.
2. Experience: Previous experience in a similar role is often preferred. Experience with transcription and administrative duties is valuable.
3. Certification: Certification in stenography or as an administrative professional can be an advantage.
