**Position**: Administrative Assistant
**Key Responsibilities**:
- **Office Management**:
- Organize and maintain office operations and procedures.
- Order and manage office supplies and equipment.
- Ensure the office is clean, well-organized, and conducive to a productive work environment.
- **Documentation and Filing**:
- Manage and maintain filing systems (both physical and electronic).
- Ensure that all documents, contracts, and records are properly organized and accessible.
- Keep documents updated and ensure confidentiality where required.
- **Scheduling and Coordination**:
- Schedule and coordinate meetings, appointments, and travel arrangements for staff members.
- Maintain calendars and ensure that all deadlines are met.
- Assist in coordinating company events, conferences, and other team activities.
- **Correspondence Handling**:
- Ensure communication between departments and clients is timely and professional.
- **Data Entry and Reporting**:
- Input and maintain accurate records in databases and spreadsheets.
- Assist with generating reports, summaries, and other documentation as required.
- Compile data and information for presentations and meetings.
- **Vendor and Supplier Management**:
- Coordinate with vendors and suppliers for office needs, including office supplies, equipment, and services.
- Ensure timely delivery and monitor vendor performance.
- Assist in processing invoices and tracking payments.
- **Logistics and Operations Support**:
- Coordinate logistics for company activities, meetings, or events.
- Ensure that necessary materials, resources, and support are provided to internal teams as needed.
- **Assistance to Senior Management**:
- Provide direct support to managers and executives with administrative tasks.
- Assist with preparing presentations, reports, and other documentation for senior leadership.
- Manage confidential information and handle sensitive communication.
- **Compliance and Policies**:
- Ensure that office practices are in compliance with company policies and procedures.
- Assist in updating and maintaining office policies and guidelines.
- **Customer Service**:
- Greet and assist visitors, clients, and other external contacts in a professional and friendly manner.
- Address inquiries and provide information as needed.
**Requirements**:
- **Education**:
- High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
- **Experience**:
- Proven experience in an administrative or office support role.
- Familiarity with office management procedures and basic accounting principles is beneficial.
- **Skills**:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office-related software.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Attention to detail and accuracy in all tasks.
- **Personal Attributes**:
- Ability to handle multiple tasks with competing deadlines.
- Strong problem-solving skills and a proactive attitude.
- High degree of professionalism and ability to maintain confidentiality.
- Ability to work both independently and as part of a team.
**Certifications (Optional)**:
- Certifications in office administration or secretarial work (e.g., Certified Administrative Professional (CAP)) are a plus.

Pay: ₹10,000.00 - ₹15,000.00 per month
