**Job Summary**
Manage administrative processes, supervise administrative employees, Vendor / Fleet management, guest house supervision and upkeep, maintenance of all Delhi based locations
**Areas of Responsibility**
**ADMINISTRATION RELATED DUTIES AT VARIOUS LOCATION**
- **CP OFFICE -**
- Office Maintenance and repair works
- Pantry management
- Office material purchase in terms of stationary, pantry, sanitary material.
- Vendors management in respect of AC, Inverter, building and other office upkeep assignments whenever required.
- Duty allocation to office peons related to office work.
- Peon attendance and OT reconciliation and salary generation. (At present, there are two office peons)
- **Guest House**
- Guest house maintenance and ensuring proper functioning by keeping close control on caretakers, guards, gardener, Washer man, sweepers.
- Ensuring timely dry cleaning of curtains bed sheet, bed covers, sofa and chairs.
- AC AMC and timely servicing
- Kitchen upkeep and supervision on purchase of food material etc.
- Staff attendance and salary generation. (At present, there are two staff)
- **Sales Office/Sun Petro Office**
- Office Maintenance and repair works
- Pantry management
- Office material purchase in terms of stationary, pantry, sanitary material.
- Vendors management in respect of AC, Lift, building and other office upkeep assignments whenever required.
- Duty allocation to office peons related to office work.
- Peon attendance and OT reconciliation and salary generation.
- Effective room allocation to our sales teams (43 Nos.) to ensure one meeting per team per week.
- Ensuring timely dry cleaning of chairs and blinds.
- **Lajpat Nagar Residence**
- Maintenance and repair works
- Vendors management in respect of AC, Electrical and Water.
- **Westend House**
- House maintenance and ensuring proper functioning by keeping close control on caretakers, guards, gardener, sweepers.
- Ensuring timely dry cleaning of curtains bed sheet, bed covers, sofa and chairs.
- AC, Lift, Water pressure pump and generator AMC and timely servicing
- Kitchen upkeep and supervision on purchase of food material etc.
- Staff attendance and salary generation. (At present, there are two staff)
- Various electronic equipment to be timely inspected and also before visit of MD’s family. (equipment like
- Phone, Internet, TV, Geyser, AC, Fan, Light, Cross trainer, RO, Washing Machine, Batteries, Microwave, Refrigerator, CCTV, water supply, Gas stove and Gas connection.
- Ensuring manpower support to our caretaker in times of need.
- **Fleet Management**
- Purchasing of office vehicles
- Maintenance and timely service of vehicles
- Ensuring cleaning and hygiene of vehicles.
- Car/ Driver allocation as per the request received. Ensuring - Fastag recharge, Fuel, drinking water, tissue box and mobile charger etc.
- Car insurance renewal, PUC, Battery replacement.
- Reconciliation of Fuel bill, parking bill and ensuring better mileage of vehicles.
- Drivers attendance and OT reconciliation and salary generation. (At present, there are four office driver)
- **Asset and Local Purchase**
- Regular purchase for office
- Diwali Gifting purchase
- Record keeping of inventory/Gift items.
- Purchase order (PO) creation.
- Vendor creation / management
- Price negotiation ensuring timely payment.
- **IT Support**
A. Trouble shooting of IT issues.
B. Internet connection, coordination with Mumbai & Gurgaon IT team, Connectivity issue at workstation, WiFi, Printer, Video Conferencing
C. Running regular checks on network and data security.
