**Key Responsibilities**:
1. **Team Coordination**
- Organize and track team schedules, ensuring alignment on key projects, deadlines, and deliverables.
- Facilitate smooth communication across departments, following up on action items, and ensuring accountability.
- Maintain a system for project tracking to ensure that projects stay on schedule and milestones are met.
2. **Client Communication & Coordination**
- Act as a liaison between the business owner, clients, and internal teams to ensure client needs are met efficiently.
- Schedule client meetings, prepare agendas, and ensure follow-up on action points.
- Respond promptly to client inquiries and requests, maintaining a high level of client satisfaction.
3. **Calendar & Travel Management**
- Manage the executive’s calendar, scheduling appointments, travel, and personal obligations to maximize time efficiency.
- Prepare detailed itineraries and coordinate travel logistics for both business and personal trips.
4. **Administrative Support**
- Prepare and edit documents, presentations, reports, and correspondence on behalf of the business owner.
- Assist with office management tasks, including ordering supplies, handling office maintenance, and managing vendor relationships.
- Maintain confidential files and ensure they are organized and accessible as needed.
5. **Meeting & Event Coordination**
- Plan and organize team meetings, client presentations, and company events, handling all logistics from start to finish.
- Prepare meeting agendas, take detailed notes, and distribute summaries or action items as needed.
6. **Process Improvement**
- Proactively suggest and implement improvements in workflow to enhance efficiency in day-to-day operations.
- Assist with the development and implementation of operational procedures and best practices.
*Requirements**:
- **Education**: Bachelor’s degree in Business Administration, Management, or a related field is preferred.
- **Experience**: 3+ years in an Executive Assistant or similar role, ideally within an SME or entrepreneurial environment.
- **Skills**:
- Strong organizational and project management skills with an ability to prioritize effectively.
- Excellent verbal and written communication skills, comfortable liaising with clients and internal teams.
- High proficiency in Microsoft Office Suite and project management tools.
- Ability to adapt to evolving business needs, demonstrating initiative and a problem-solving mindset.
- Discretion, professionalism, and the ability to maintain confidentiality.
