**Admin and Accounts Assistant (Female Preferred)**

Location: Pune (Work from Office)

**ROLE SUMMARY**:
The Admin and Account Assistant should be capable of independently handling office operations. S/he will work under the supervision of Assistant Manager: General Administration and under control of the Manager: Finance & Accounting. The Assistant is responsible for **day to day office operations, verification and submission of staff and vendor bills to Head Office, maintain office records etc. and maintain regular correspondence with Delhi Office **in order to meet organisational requirements.

**DUTIES AND RESPONSIBILITIES**

a. **Administration**:

- Office Operations: Ensure Timely **collection of utility bills, Vendor Bills** etc. and submit them to Head office for payment processing. Ensure cleanliness at office premises and maintain the plantation. Arrangement for Stationery, House keeping and other general items. Ensure AMCs of all the equipment.
- Record Keeping: Maintain **Inventory Register, Fixed Asset Register, Office file records**, Staff and Vendor bills and maintain Diary/Dispatch Register and correspondence.
- Travel Arrangement: Assist the staff and Asst. Manager - General Administration for arranging staff travel.
- Vehicle Management: Ensure fuelling of Patrolling Vehicle, timely service and maintenance of the vehicles etc. and get the vehicle log book maintained.
- Petty Cash Management: Maintain petty cash and day to day contingent expenses as per the approvals.
- Personnel Management: To understand the staff requirements i.e. ID Cards, Visiting cards, any staff issues, attendance management etc. and coordinate with head office.

b. Accounts related
- Ensure proper **submission of the travel and other reimbursement bills** by staff, vendor bills etc. in line with available budgets.
- To check the bills as per organisational policy and submit them to head office for payment process.
- Maintaining proper **entries in Tally Software** and ensure proper **maintenance of accounting records** with supporting documents.
- Assist the Manager: Financial and Accounting in preparation of Monthly & Quarterly reports such as PF, ESI, TDS, MIS etc. and Projects’ financial reports.
- Assisting in timely completion of Internal Audit, Statutory Audit and project based auditing as per the organisation and Donors’ requirement.
- Assist in **Procurement of the supplies **for the programme need, based on procurement policies of SaveLife Foundation.
- Undertake any other activities and responsibilities as required by the organisation.

**Role Specifications**:
**Education**
- Bachelor's degree in Commerce, or similar.

**Skills Required**:

- Adhere strict timelines and open to extended working hours based on requirements.
- Good communication skills in English, Hindi and **Marathi.**:

- Must be a team player.

**Experience**
- Minimum 2 to 3 Years of Experience in Office Administration and Accounts.
- Preferred experience in NGO/ Social Development Sector.

**Job Types**: Full-time, Regular / Permanent

**Salary**: ₹240,000.00 - ₹360,000.00 per year
