**Job Title**: Facility Observer/Auditor
**Job Summary**: The Facility Observer plays a crucial role in monitoring and reporting the conditions and functionality of facilities within an organization. They conduct regular inspections, identify maintenance or operational issues, and ensure compliance with safety and regulatory standards. The Facility Observer provides valuable insights and recommendations to facilitate timely repairs, improvements, and the overall optimization of facility operations.
**Duties and Responsibilities**:Facility Inspections**:
Conduct routine inspections of facilities to assess their physical condition, cleanliness, and functionality.
Inspect building systems, including HVAC, electrical, plumbing, and security, to identify maintenance or repair needs.
Document and report any observed issues or deficiencies.
**Safety and Compliance**:
Ensure compliance with safety regulations and industry standards within the facilities.
Identify and report any safety hazards, potential risks, or violations of safety protocols.
Monitor and report compliance with applicable codes, regulations, and policies.
**Maintenance and Repair Coordination**:
Report maintenance and repair needs to the appropriate teams or departments.
Collaborate with facility managers and technicians to ensure timely resolution of identified issues.
Follow up on maintenance and repair work to verify completion and quality of service.
**Documentation and Reporting**:
Maintain accurate records and documentation of facility observations, inspections, and reported issues.
Prepare comprehensive reports highlighting findings, recommendations, and suggested actions for improvement.
Provide regular updates to appropriate stakeholders on facility conditions and related issues.
**Communication and Collaboration**:
Liaise with facility managers, maintenance teams, and relevant stakeholders to address facility-related concerns.
Collaborate and communicate effectively with cross-functional teams to support facility operations.
Participate in meetings and discussions related to the improvement and optimization of the facilities.
**Continuous Improvement**:
Stay updated on industry best practices, technological advancements, and regulatory changes relevant to facility management.
Suggest process improvements and contribute to the development and implementation of facility management strategies.
Share knowledge and insights related to facility observations and best practices with relevant stakeholders.
**Requirements**:
High school diploma or equivalent; additional certifications or education in facility management or related fields is a plus. Previous experience in conducting facility inspections or a similar role is preferred. Strong attention to detail and observation skills. Knowledge of facility systems, maintenance practices, and safety regulations. Excellent written and verbal communication skills. Ability to accurately document and report facility-related issues. Proficiency in using basic technology and software for documentation and reporting. Strong problem-solving and decision-making abilities. Ability to collaborate and work effectively with diverse teams and stakeholders.
