**Job Title**: Service Coordinator
**Reports To**: Project Manager
**Job Summary**:
The Service Coordinator is responsible for managing and coordinating service operations, ensuring efficient scheduling, timely communication with clients, and support for field technicians. Working closely with the Project Manager, this role plays a key part in ensuring the smooth execution of service requests, enhancing client satisfaction, and maintaining high operational standards.
**Responsibilities**:
- **Service Scheduling and Coordination**:
- Manage and coordinate the scheduling of field technicians for service calls, ensuring optimal resource allocation.
- Monitor service requests and track the status of ongoing projects, ensuring timely completion.
- Maintain regular communication with clients to confirm service appointments, provide updates, and address any queries.
- **Client Communication**:
- Act as the primary point of contact for clients, handling inquiries and service-related issues.
- Provide exceptional customer service by addressing client needs promptly and resolving concerns.
- Coordinate with clients to ensure satisfaction post-service and handle feedback or follow-up tasks.
- **Support for Field Technicians**:
- Coordinate logistics for field technicians, ensuring they have the necessary tools, materials, and documentation.
- Track and report on technician performance metrics, ensuring adherence to timelines and service quality standards.
- Assist in managing any service escalations or emergencies with input from the Project Manager.
- **Documentation and Reporting**:
- Maintain accurate records of service activities, including scheduling, technician assignments, and project statuses.
- Prepare and present regular reports on service operations to the Project Manager, highlighting key issues or improvements needed.
- Ensure that all documentation related to services is properly filed and accessible for future reference.
- **Operational Efficiency**:
- Identify and recommend process improvements for service operations to enhance efficiency and customer satisfaction.
- Collaborate with the Project Manager to develop and implement strategies to streamline workflows and minimize service delays.
- **Compliance and Safety**:
- Ensure compliance with company policies and industry regulations regarding service delivery and field operations.
- Promote safety standards among field technicians and ensure adherence to safety protocols during service tasks.
**Qualifications and Skills**:
- Bachelor’s degree in business administration, operations management, or a related field preferred.
- Proven experience in a service coordination, operations, or similar role.
- Strong organizational and multitasking abilities, with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in scheduling software and Microsoft Office Suite.
- Ability to work in a fast-paced environment and manage competing priorities.
- Experience in working with field service teams is a plus.
**Working Conditions**:
- Primarily office-based, with occasional visits to client sites or project locations.
- Collaboration with multiple teams, including clients, technicians, and project management.
**Performance Metrics**:
- Client satisfaction ratings.
- On-time completion of service requests.
- Efficiency of technician scheduling.
- Accuracy of service documentation and reporting.
