Responsibilities **Administrative duties**
- **Documentation and reporting**: Manage site documentation, including daily progress reports, attendance sheets, and other official correspondence.
- **Office support**: Handle basic office administration such as managing phone calls, filing, and organizing records.
- **Purchase orders and invoicing**: Assist with generating and tracking purchase orders and processing invoices related to site procurements.
- **Coordination**: Coordinate with suppliers, vendors, and internal departments to ensure smooth site operations.
- **Compliance**: Ensure compliance with company policies and safety procedures at the site.
**Store and inventory management**
- **Material handling**: Supervise the receiving, inspection, and recording of incoming materials and supplies.
- **Inventory control**: Maintain accurate stock records, track inventory levels, and conduct regular audits.
- **Issuance and dispatch**: Issue materials and equipment to site staff and maintain a log of all incoming and outgoing items.
- **Organization and storage**: Keep the store or warehouse area clean, organized, and safe. Materials are often stored using methods like FIFO (first-in, first-out).
- **Stock reconciliation**: Prepare delivery notes and other required documents for stock transfers and reconcile physical stock with system records.
