**Summary**:
As an Administrative Assistant, you will provide crucial support to our organization by assisting with various administrative tasks and ensuring efficient office operations. You will handle a wide range of duties, from managing correspondence to organizing files, scheduling appointments, and facilitating communication within the company.
**Key Responsibilities**:
- **Correspondence Management**: Draft, edit, and proofread correspondence, reports, and documents. Prepare and distribute internal memos, announcements, and meeting agendas. Handle incoming and outgoing mail and packages.
- **Calendar Management**: Manage executive calendars, schedule appointments, meetings, and conference calls. Coordinate travel arrangements, including booking flights, accommodations, and transportation.
- **Data Entry and Record Keeping**: Enter data into databases, spreadsheets, and other software systems accurately and efficiently. Maintain and update electronic and physical filing systems, ensuring files are organized and easily accessible.
- **Meeting and Event Coordination**: Assist with the planning and coordination of meetings, conferences, and events. Reserve meeting rooms, arrange catering, prepare meeting materials, and coordinate logistics to ensure successful events.
- **Communication Support**: Serve as a liaison between departments, relay messages, and facilitate communication between team members. Maintain contact lists, distribute communications, and ensure timely responses to inquiries.
- **Document Preparation**: Prepare and format documents, presentations, and reports using word processing and presentation software. Proofread and edit documents for accuracy, consistency, and clarity.
- **Administrative Support**: Provide administrative support to executives, managers, and team members as needed. Assist with special projects, research assignments, and other tasks to support departmental goals and initiatives.
- **Confidentiality and Discretion**: Handle sensitive and confidential information with the utmost discretion and maintain confidentiality in all interactions and communications.
**Requirements**:
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and office equipment
- Strong organizational skills, attention to detail, and time management abilities
- Excellent written and verbal communication skills
- Ability to work independently and collaboratively in a team environment
- Discretion, integrity, and professionalism in handling confidential information
