**Position Overview**:
**Key Responsibilities**
**1. Administrative and Executive Support**
- Managing calendars, scheduling meetings, and ensuring the employer’s time is optimized.
- Handling correspondence, drafting documents, and preparing reports or presentations.
- Organizing travel arrangements, including bookings, itineraries, and accommodations.
- Prioritizing tasks and commitments for seamless daily operations.
- Maintain and organize files, contracts, and important documents, ensuring easy access and security.
**2. Event Planning and Management**
- Coordinating logistics for corporate and personal events, such as corporate cricket tournaments, team-building sessions, client meetings, or celebrations.
- Researching and booking venues, catering, entertainment, and other event vendors.
- Preparing event budgets and ensuring cost-effectiveness.
- Managing guest lists, invitations, RSVPs, and event schedules.
- Supervising on-site arrangements and troubleshooting any issues during the event.
- Collecting post-event feedback and preparing event performance reports.
**3. Communication Management**
- Acting as the liaison between the employer and internal/external stakeholders.
- Drafting and proofreading meeting agendas, minutes, and follow-up communications.
**4. Time and Task Coordination**
- Tracking deadlines, deliverables, and milestones for events and other projects.
- Assisting with personal and professional scheduling to avoid conflicts.
- Following up on assigned tasks to ensure timely completion.
**5. Budgeting and Resource Management**
- Monitoring event budgets and negotiating with vendors for the best pricing.
- Managing petty cash or allocated budgets for personal errands, office needs, and events.
- Tracking event-related expenses and ensuring proper documentation for reimbursement.
**6. Confidentiality and Professionalism**
- Managing sensitive personal and professional information with discretion.
- Ensuring compliance with data protection and company policies.
**7. Event Marketing and Promotion (if required)**
- Ensuring alignment of event content with the company’s goals and image.
**8. Problem-Solving and Adaptability**
- Addressing last-minute event changes or emergencies with quick decision-making.
- Anticipating challenges in event planning and proactively finding solutions.
**9. Relationship Management**
- Building and maintaining relationships with vendors, clients, and team members.
- Acting as a professional representative of the employer during events and meetings.
**10. Personal Errands and Assistance**
- Handling personal tasks such as reservations, purchases, or coordinating household events.
- Assisting with family schedules or personal celebrations as needed.
**Qualifications**:
- **Experience**: Minimum of 3+ years of experience as an Executive Assistant, preferably supporting C-level executives.
- **Education**: Bachelor’s degree in business administration, Communications, or a related field; a Master’s degree is a plus.
- **Skills**:
- **Exceptional organizational and time-management skills.**:
- Strong written and verbal communication skills.
- Proven ability to manage multiple priorities and work under pressure.
- High level of discretion and professionalism.
- Strong interpersonal skills with the ability to build and maintain relationships at all levels. Should be willing to represent the CEO for events as need be.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with project management tools and software is an advantage.
