The Front Desk Manager at Bangalore Head & Neck Sciences plays a vital role in ensuring the smooth functioning of front office operations. The position requires a dynamic individual with excellent communication skills to manage patient inquiries, scheduling, and coordination between departments. The role also involves providing a professional and welcoming environment for patients, visitors, and staff, while ensuring the clinic's administrative tasks are efficiently handled.

Key Responsibilities:
Reception Management:
Welcome patients, visitors, and vendors with a friendly and professional demeanor.

Manage patient check-ins and check-outs efficiently.

Provide information to patients about services, doctors’ availability, and appointment scheduling.

Appointment Scheduling & Coordination:
Schedule patient appointments, reschedule or cancel appointments when necessary, and maintain an updated appointment calendar.

Ensure proper coordination between patients and doctors/medical staff for timely consultations.

Assist in preparing daily appointment schedules for doctors and medical staff.

Patient Records & Documentation:
Maintain accurate patient records, ensuring confidentiality and adherence to clinic policies.

Update patient details and manage the filing system for medical and administrative records.

Billing & Payment Processing:
Handle billing inquiries and process payments from patients, ensuring accuracy in billing procedures.

Coordinate with the finance department for reconciliation of payments and receipts.

Provide cost estimates for treatments and clarify any patient queries regarding billing.

Administrative Support:
Assist the clinic management with administrative tasks such as preparing reports, handling correspondence, and managing clinic supplies.

Coordinate with various departments to ensure seamless day-to-day operations.

Supervise front desk staff (if applicable) and ensure they perform their duties efficiently.

Customer Service:
Address and resolve patient complaints or escalate them to the appropriate department.

Ensure high levels of patient satisfaction by providing exemplary customer service.

Conduct post-visit follow-ups with patients for feedback or queries.

Compliance & Protocol:
Ensure adherence to clinic protocols, patient confidentiality policies, and health and safety regulations.

Stay updated with any procedural or operational changes within the clinic.

Qualifications:
Bachelor’s degree in any discipline (preferably in healthcare administration or management).

Proven experience in a front desk or administrative role, preferably in a healthcare setting.

Strong communication and interpersonal skills.

Proficiency in Microsoft Office Suite and experience with clinic management software is a plus.

Ability to multitask and manage time efficiently.

Problem-solving skills and a calm demeanor under pressure.

Pay: ₹20,000.00 - ₹25,000.00 per month
