**Job Summary**: The Office Administrator is responsible for ensuring the smooth operation of the office by providing administrative support to staff and managing office resources. The role involves coordinating office activities, managing schedules, maintaining records, and ensuring a productive and well-organized work environment.
**Key Responsibilities**:
- **Administrative Support**:
- Schedule and coordinate meetings, appointments, and travel arrangements for staff.
- Prepare and distribute meeting agendas, minutes, and reports.
- Assist in the preparation of regularly scheduled reports.
- **Office Management**:
- Oversee office supplies inventory and place orders as necessary.
- Maintain a clean, organized, and safe office environment.
- Coordinate maintenance and repair of office equipment.
- Ensure compliance with office policies and procedures.
- **Record Keeping**:
- Maintain accurate and up-to-date employee records, including attendance and leave.
- Manage filing systems, both electronic and physical.
- Maintain accurate and up-to-date materials list issued to sites.
- **Customer Service**:
- Address inquiries from clients, vendors, and employees.
- Ensure a positive and professional office atmosphere.
- **Financial Administration**:
- Assist with basic bookkeeping tasks, including invoicing and expense tracking.
- Process and track invoices, payments, and receipts.
- Support the preparation of budgets and financial reports.
- **Human Resources Support**:
- Assist in the recruitment and onboarding process.
- Maintain employee records and manage HR documentation.
- Coordinate training sessions and employee development activities.
- **Project Coordination**:
- Coordinate with various departments to ensure project deadlines are met.
- Monitor project progress and report on outcomes.
**Qualifications**:
- **Education**: High school diploma or equivalent; additional qualifications in Office Administration or related fields are a plus.
- **Experience**: Proven experience as an office administrator, office assistant, or relevant role.
- **Skills**:
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
**Working Conditions**:
- Standard office environment with occasional requirements for overtime.
- May require lifting and carrying office supplies and equipment.
