**External Job Description**:
**Key Metrics of the Role**
- Time taken to close employee issues- Maintenance of Records
- Administration support for HR in Recruitment, On-boarding, Training & Exit.
- MIS for tracking Budget vs Action expenses
- Rating from employees on Facilities
- Uninterrupted Transportation services
- Key Deliverables- Contract Labour Management:
- Handle CLMS for the location and its process
- Timely communication to contractors to control absenteeism, recruitment of replacement of contract worker
- Timely Process of invoice of Contractors
Office Management:
- Supervise day-to-day administrative operations in the factory office.
- Ensure efficient functioning of office equipment and systems.
- Manage office supplies and maintain an organized work environment.
Documentation and Record Keeping:
- Oversee the creation, organization, and maintenance of records and documentation related to factory operations.
- Ensure compliance with record-keeping requirements, including safety reports, regulatory documents, and other essential records.
Communication:
- Facilitate effective communication between different departments within the factory.
- Liaise with external stakeholders, including suppliers, customers, and regulatory agencies pertaining to administration.
Scheduling and Coordination:
- Coordinate and schedule meetings, appointments, and events within the factory.
- Assist in organizing training sessions, workshops, and other factory-related activities.
Human Resources Support:
- Assist the human resources department in recruitment processes, onboarding, and maintaining employee records.
- Support HR functions related to employee relations, benefits administration, and adherence to company policies.
Budgeting and Finance Support:
- Collaborate with the finance department to manage administrative budgets.
- Track and process invoices, expense reports, and other financial transactions related to administrative activities.
- Maintain related MIS & Dashboards
Facility Maintenance:
- Oversee and coordinate maintenance activities to ensure the proper functioning of facilities and infrastructure within the factory.
- Collaborate with relevant teams to address any maintenance or repair issues promptly.
Canteen Management:
- Responsible for managing canteen services and supervise the daily canteen operations.
- Closure of any complaints received from employees for the canteen and its services.
Transportation Services:
- Manage transportation services for the plant and Coordination with vendor for seamless services.
- Take feedback from employees and escalate the issues with the service provider.
Security and Safety:
- Collaborate with the safety and security teams to implement and enforce safety protocols and security measures.
- Address any safety concerns or incidents promptly.
- Process Improvement:
- Identify opportunities for process improvement within administrative functions.
- Implement efficient systems and procedures to enhance overall administrative effectiveness.
