The role in a nutshell:
This position reports to the APAC Regional Administration Assistant and will provide remote administrative support to the Safeguard Global APAC Region. This position will occur remotely during our normal business hours, Monday through Friday but presence in a local office may be required at times.
How you will make a difference:
- Assist in providing administrative support to local points of contact for the offices within the APAC Region.
- Single point of contact for supply, health, and safety vendors and provide support to facilitate APAC Health and Safety representatives.
- Assist in Completing a broad variety of administrative tasks for the Global Facilities organization including invoice/document management, research quotes for office projects, coordinate entry to office for vendors.
- Search new vendors from time to time for cost and services improvement.
- Support Facilities in the improvement of the employee experience.
- Conference Room Management - Maintain and schedule meetings where required.
- New joiner onboarding and offboarding tasks.
- Organizing documents for signatures; printing documents, scanning documents, liaising with Notaries etc.
- Prepare and deliver any documentation and packages as needed via post.
- Coordinate food deliveries as needed.
- Ensuring that all stationary/Joining KITs requirement are met within timelines and budget
- Coordinate local travel accommodations as required.
- Provide support for senior management visitations across APAC.
- Monthly MIS Updating
- Budget Vs Actual (Controlling and monitoring)
- Support in organizing office events
- Demonstrate initiative to improve process where identified.
- Develop and coordinate remote focused standard operating procedures for facilities in line with the work in any way model
What will give you an advantage:
- Minimum 3 years’ experience working as office assistant, administrative assistant role or the like.
- Excellent verbal and written communication skills, along with strong interpersonal skills. Must have the ability to comfortably interact & communicate with all levels of the organization.
- Communicate fluently in English.
- General knowledge of how a professional office operates.
- Proficiency in Microsoft Office, with an aptitude to learn new software and systems.
- Strong problem-solving skills
- Strong time-management, and people skills.
- Ability to meet deadlines.
- Self-starter personality with ability to adapt to shifting priorities and meet deadlines in a changing environment.
- Ability to work collaboratively and follow instructions.
