Tender Executive

We are looking for a detail-oriented and proactive **Tender Executive** to join our Fire and Safety Services team. The Tender Executive will be responsible for managing the end-to-end tendering process—right from identifying tender opportunities to submitting compliant and competitive bids. This role is vital for securing new contracts, maintaining relationships with clients and authorities, and ensuring alignment with industry standards and compliance requirements in the fire and safety domain.

**Key Responsibilities:1. Tender Research and Identification**:

- Identify and evaluate relevant tender opportunities through online portals, government websites, GeM (Government e-Marketplace), and direct client communications.
- Stay updated on new tenders and upcoming opportunities in the fire and safety sector.

**2. Tender Document Interpretation**:

- Thoroughly analyze tender documents, including scope of work, eligibility criteria, technical requirements, financial clauses, and submission procedures.
- Clarify ambiguities with clients or tender authorities as needed.

**3. Bid Preparation**:

- Coordinate with technical, commercial, legal, and operations teams to gather required inputs for bid documentation.
- Prepare and compile technical proposals, pricing details, compliance checklists, certifications, and supporting documents.
- Ensure bids align with fire and safety standards (e.g., BIS, NFPA, IS codes).

**4. Submission and Compliance**:

- Ensure timely submission of tenders, whether online (GeM/eProcurement portals) or offline, as per tender conditions.
- Handle required financial instruments like Earnest Money Deposits (EMDs), Bank Guarantees, Fixed Deposit Receipts (FDRs), or Demand Drafts (DDs).
- Ensure strict adherence to all regulatory and documentation requirements.

**5. Communication and Negotiation**:

- Communicate with tendering authorities for clarification, amendments, and negotiation of commercial/technical terms.
- Attend pre-bid meetings and represent the company in technical or commercial discussions.

**6. Follow-up and Monitoring**:

- Track the status of submitted tenders and proactively follow up with clients or authorities for updates.
- Monitor awarded contracts and coordinate with operations for smooth execution.

**7. Documentation and Record Keeping**:

- Maintain a database of past, ongoing, and future tenders.
- Ensure all bid-related documents, correspondences, approvals, and submissions are properly archived.

**Skills and Qualifications**:

- **Education**: Graduate in Business Administration, Engineering, or a relevant field (preferred: specialization in fire safety or similar industry).
- **Experience**: 2-4 years of experience in tendering, preferably in fire and safety services, infrastructure, or industrial services.
- **Communication Skills**: Strong written and verbal skills to prepare quality documentation and communicate with internal/external stakeholders.
- **Organizational Skills**: Able to prioritize, manage multiple tenders simultaneously, and work under tight deadlines.
- **Analytical Thinking**: Strong analytical ability to interpret complex tender specifications and craft competitive responses.
- **Knowledge of Tendering Platforms**: Familiar with GeM portal, CPPP, eProcurement sites, and public/private tendering systems.
- **Industry Knowledge**: Awareness of fire and safety regulations, equipment standards (like fire extinguishers, hydrants, alarms), and service protocols.

**Working Conditions**:

- Office-based role with occasional travel for pre-bid meetings or submission of documents.
- Must be able to work flexible hours based on tender deadlines.

Pay: ₹20,000.00 - ₹40,000.00 per month
