**Key Responsibilities**:
- **Front Desk Management**:
- Greet visitors and clients in a friendly and professional manner.
- Manage incoming calls, redirecting them to appropriate personnel or taking messages as needed.
- **Visitor Assistance**:
- Assist visitors with inquiries, providing information about the company and its services.
- Coordinate visitor access and issue visitor badges as required.
- **Administrative Support**:
- Provide administrative support to various departments, including typing, filing, and data entry.
- Assist with document preparation, photocopying, and scanning.
- **Office Coordination**:
- Maintain the reception area in a neat and organized manner.
- Coordinate office supplies, including ordering, stocking, and inventory management.
- **Meeting and Event Support**:
- Assist in scheduling meetings and appointments for staff.
- Arrange meeting rooms, including setup, refreshments, and cleanup as needed.
- **Mail Handling**:
- Sort and distribute incoming mail and packages.
- Prepare outgoing mail and courier shipments.
- **Database Management**:
- Maintain contact databases and update records as necessary.
- Assist in maintaining electronic and hard copy filing systems.
- **Visitor Hospitality**:
- Offer hospitality to visitors, including offering refreshments and ensuring their comfort.
- Escort visitors to meeting rooms or relevant personnel as required.
**Qualifications**:
- High school diploma or equivalent qualification.
- Previous experience in a receptionist or administrative role is preferred.
- Excellent communication and interpersonal skills.
- Polished appearance and professional demeanor.
- Strong organizational abilities and attention to detail.
- Proficiency in MS Office Suite and office equipment.
