Administrative support across the organization.
- Welcome guests and greeting people who visit the Office.
- Coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
- Able to deal with emergencies in a timely and effective manner, while stream lining office operations.
- Working in shifts, so flexibility is a plus.
- Keep update the records of department.
- Perform there clerical receptionist duties such as filing, photocopying, transcribing and faxing
- Receive, sort and distribute daily mail/deliveries.
- Effectively maintaining of time, at each specific works allotted.
- Pleasant personality (as this is also a customer service role) Welcome guests as soon as the arrive at the office.
- Receiving visitors at the front desk by greeting, welcoming, directing and announcing
- Them appropriately
- Direct visitors to the appropriate person and office Screening and forwarding incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Maintain office security by following safety procedure sand controlling access via the reception desk (monitor log book, issue visitor Gate pass etc.)
- Update calendars and schedule meetings/Arrange travel and accommodations.
