## **Job Summary**:
The Dispatch Executive is responsible for the efficient coordination of dispatching activities, ensuring that goods and services are delivered in a timely, safe, and cost-effective manner. The role involves close interaction with drivers, warehouse staff, customers, and management to maintain smooth operations and high customer satisfaction.
## **Key Responsibilities**:
1. **Coordination of Dispatch Activities**:
- Plan, schedule, and coordinate the daily dispatch of goods and vehicles.
- Assign routes and delivery schedules to drivers based on delivery priorities and customer requirements.
- Monitor the real-time movement of vehicles and ensure adherence to delivery schedules.
2. **Communication and Customer Service**:
- Serve as the primary point of contact for drivers and customers during dispatch.
- Handle customer inquiries and complaints related to deliveries and provide timely updates on shipment status.
- Coordinate with the sales and customer service teams to ensure all customer requests and delivery instructions are followed.
3. **Documentation and Reporting**:
- Maintain accurate records of dispatch activities, including delivery times, vehicle mileage, fuel consumption, and driver logs.
- Prepare and submit daily/weekly reports on dispatch performance, delays, and other key metrics to management.
- Ensure all delivery-related documents (invoices, shipping labels, delivery receipts) are correctly processed and filed.
4. **Problem Solving and Decision Making**:
- Identify and resolve any issues or delays during dispatch, such as vehicle breakdowns, route changes, or delivery discrepancies.
- Make quick decisions to reroute deliveries or adjust schedules as needed to meet customer expectations and minimize downtime.
5. **Compliance and Safety**:
- Ensure that all dispatch activities comply with company policies, legal regulations, and safety standards.
- Monitor driver adherence to traffic laws, road safety, and company policies.
- Conduct routine checks on vehicle maintenance and readiness for dispatch.
6. **Team Collaboration**:
- Work closely with warehouse and inventory teams to ensure the availability and readiness of goods for dispatch.
- Collaborate with the finance department to verify payment collection and documentation.
- Provide feedback and training to drivers to improve dispatch efficiency.
- **Experience**:
- 2-3 years of experience in dispatch, logistics, or transportation management.
- Experience in route planning, driver management, and customer service is highly preferred.
- **Skills**:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in dispatch software and MS Office (Excel, Word).
- Ability to work under pressure and solve problems quickly.
- Knowledge of local geography and traffic rules.
**Education**:
- Bachelor's (preferred)
**Experience**:
