**Key Responsibilities**:

- **Front Office Management**:

- Greet and welcome visitors in a warm and professional manner.
- Answer, screen, and forward incoming phone calls while providing basic information when needed.
- Maintain the reception area, ensuring it is tidy and presentable, with all necessary stationery and materials (e.g., brochures, forms, etc.).
- **Visitor & Call Management**:

- Ensure that visitors sign in and are directed to the appropriate person/meeting room.
- Maintain visitor logs and issue visitor badges when necessary.
- Handle inquiries about the company and provide general information.
- **Appointment Scheduling**:

- Manage the company’s central calendar for appointments, meetings, and conference room bookings.
- Schedule appointments for executives and staff when required.
- **Mail & Courier Management**:

- Receive, sort, and distribute daily mail and deliveries.
- Coordinate outgoing mail and courier services.
- **Administrative Support**:

- Provide administrative and clerical support to HR, including handling employment-related inquiries, scheduling interviews, and onboarding assistance.
- Assist in preparing and maintaining documents, records, and reports.
- Support office staff with various administrative tasks (filing, photocopying, transcribing, etc.).
- **Engagement Activities (HR Support)**:

- Assist HR with the planning and execution of employee engagement activities and events (e.g., team-building exercises, holiday celebrations, etc.).
- Help with new employee onboarding, including preparing welcome kits and organizing orientation sessions.
- **Inventory & Office Supplies Management**:

- Monitor office supplies and place orders as needed, ensuring that all departments have necessary resources.
- Maintain and update inventory lists.
- **Compliance and Safety**:

- Ensure compliance with security policies by monitoring visitor access and managing security badges.
- Follow office health and safety protocols, reporting any hazards or maintenance needs.
- **Technology & Equipment Support**:

- Coordinate with IT to ensure office equipment (phones, printers, copiers) is maintained.
- Assist employees with basic technical issues (e.g., connecting to conference call systems).
- **Other Duties**:

- Take on special projects and ad-hoc tasks as required by management.

**Qualifications**:

- High school diploma or equivalent; additional qualifications as an Administrative Assistant or Receptionist are a plus.
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Hands-on experience with office equipment (e.g., fax machines, printers).
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Customer service attitude.
- Professional appearance and behavior.

Pay: ₹10,374.07 - ₹18,000.00 per month
