As a Front Office Associate in the insurance sector, you will be the first point of contact for clients and visitors. Your role involves providing exceptional customer service, managing inquiries, and supporting administrative tasks to ensure the smooth operation of the front office.
**Responsibilities**:
- **Customer Service**:
- Greet clients and visitors in a professional and friendly manner.
- Provide information about insurance products, services, and basic policy details.
- Assist clients with inquiries, policy renewals, and claim inquiries.
- **Appointment Scheduling**:
- Schedule appointments for clients to meet with insurance agents or advisors.
- Coordinate and manage the appointment calendar efficiently.
- **Phone Handling**:
- Answer and direct incoming calls to the appropriate department or personnel.
- Take messages and provide information to callers as needed.
- **Document Handling**:
- Receive, sort, and distribute incoming mail and packages.
- Assist in the preparation and processing of policy documents.
- **Administrative Support**:
- Provide administrative support to the insurance team, including data entry and record-keeping.
- Assist in maintaining and updating client databases.
- **Client Registration**:
- Assist new clients with the completion of registration forms and documentation.
- Ensure all required information is accurately collected for policy issuance.
- **Payment Processing**:
- Handle basic payment transactions and assist clients with billing inquiries.
- Collaborate with the finance department to ensure accurate processing of payments.
- **Facilities Management**:
- Ensure the reception area is clean, organized, and presentable.
- Monitor and order office supplies as needed.
**Qualifications**:
- **Education**:
- High school diploma or equivalent; additional education in business administration or a related field is a plus.
- **Experience**:
- Previous experience in a front office or customer service role, preferably in the insurance or financial services industry.
- **Skills**:
- Excellent interpersonal and communication skills.
- Strong organizational and multitasking abilities.
