The **Sales Admin Executive**will support the sales operations by handling day-to-day administrative tasks related to customer orders, quotations, invoicing, and logistics. You will be responsible for interacting with customers directly, processing sales orders, managing communication, and ensuring a smooth flow from order receipt to delivery. Your role will be essential in maintaining client satisfaction, tracking sales, and ensuring timely delivery of products.

**Key Responsibilities**:

- **Quotation and Proposal Preparation**:

- Prepare accurate and competitive quotations and proposals in response to customer inquiries.
- Ensure that all relevant product details, pricing, and delivery terms are clearly reflected in the proposals.
- Respond promptly to customer requests for price adjustments or clarifications.
- **Customer Communication**:

- Act as the primary point of contact for clients, addressing inquiries regarding products, pricing, and order statuses.
- Communicate directly with customers to confirm orders, clarify requirements, and ensure that expectations are met throughout the sales process.
- Provide excellent customer service by handling complaints, feedback, and after-sales inquiries professionally and efficiently.
- **Sales Order Management**:

- Accurately process customer orders and ensure all necessary details are captured in the company’s CRM system.
- Coordinate order fulfillment with the production and logistics teams to ensure timely delivery of products.
- Track and update clients on the status of their orders and resolve any issues or delays.
- **Invoicing and Billing**:

- Generate invoices for completed orders and ensure the accuracy of pricing, product details, and payment terms in SAP or other ERP systems.
- Follow up on overdue payments and assist the finance team in managing billing-related inquiries.
- **Sales Reporting and Data Management**:

- Regularly update and maintain customer records and order history in the CRM system.
- Assist in generating sales reports, including tracking sales performance, client activity, and order progress.
- Support in providing insights for forecasting and analyzing customer data to help drive sales strategies.
- **Logistics Coordination**:

- Ensure timely shipment and delivery of products by coordinating with logistics and shipping teams.
- Communicate shipment details to customers and update them on any changes or delays in delivery schedules.
- Assist in preparing shipping documents and managing import/export requirements for international orders.
- **Client Relationship Management**:

- Develop and maintain positive, long-term relationships with clients to ensure continued business.
- Follow up with customers post-delivery to gather feedback and resolve any post-sale issues.
- Identify opportunities for repeat business and upselling.
- **Administrative Support**:

- Maintain and manage sales-related documentation, ensuring all records are organized and up to date.
- Assist with organizing customer meetings, product demos, or other sales-related events.

**Skills & Qualifications**:

- **Educational Background**:

- A Bachelor’s degree in Business Administration, Sales, Marketing, or related fields is preferred.
- **Experience**:

- 1-3 years of experience in a sales administration, coordination, or customer-facing role (preferably in a manufacturing or technical environment).
- Previous experience in handling sales orders, customer communications, and using CRM and ERP systems is a plus.
- **Technical Skills**:

- Proficiency with CRM tools and SAP or similar ERP systems for managing orders and invoicing.
- Strong MS Office skills, especially Excel for sales reporting and data management.
- **Communication Skills**:

- Excellent verbal and written communication skills in English (Hindi proficiency is a plus).
- Ability to communicate effectively with customers, internal teams, and management.
- **Organizational Skills**:

- Strong attention to detail and ability to manage multiple tasks simultaneously.
- Highly organized with the ability to prioritize work and meet deadlines in a fast-paced environment.
- **Customer Service**:

- Strong customer service orientation with the ability to resolve issues and provide a positive customer experience.
- Problem-solving skills and the ability to handle client concerns efficiently.
- **Teamwork**:

- Ability to collaborate effectively with internal teams, including production, logistics, and finance, to ensure smooth operations.
- Willingness to assist colleagues and contribute to the success of the sales department.
