**Job Description: Telephone Operator**
**Key Responsibilities**:
**1. Call Management**:
- Answer incoming calls promptly and professionally, addressing callers by name and following established greeting protocols.
- Transfer calls to appropriate departments, medical staff, or patient rooms using the hospital's telephone system.
- Handle multiple calls simultaneously, prioritizing urgent calls and inquiries.
**2. Information Dissemination**:
- Provide accurate information to callers regarding hospital services, departments, visiting hours, patient room numbers, and general inquiries.
- Direct callers to appropriate resources, websites, or other relevant information sources as needed.
**3. Emergency Response**:
- Handle emergency calls with composure and efficiency, following established protocols to connect callers to the appropriate medical personnel or emergency response teams.
- Initiate and coordinate emergency notifications and procedures, such as overhead announcements and alerting relevant hospital staff.
**4. Customer Service**:
- Deliver exceptional customer service by addressing callers' concerns, complaints, and inquiries in a friendly and empathetic manner.
- Remain patient, courteous, and professional when dealing with frustrated or anxious callers.
**5. Record Keeping**:
- Maintain accurate and up-to-date records of calls, messages, and information provided to callers.
- Document important details, such as patient names, room numbers, and messages for medical staff.
**6. Internal Communication**:
- Relay messages between hospital staff members and departments, ensuring timely and accurate communication.
- Notify appropriate personnel of urgent or critical matters, such as incoming important calls or emergency situations.
**7. Equipment Management**:
- Operate and maintain telephone equipment, troubleshoot minor technical issues, and escalate more complex problems to the IT department.
**8. Confidentiality and Privacy**:
- Adhere to strict confidentiality and privacy guidelines when handling patient information and calls, in compliance with HIPAA regulations and hospital policies.
